Quality and Regulatory Coordinator – Job Description
Location: St. Thomas, ON
White Ash Group has been engaged by a fully licensed Cannabis cultivation, processing, and
consumer packaged goods company to recruit their next Quality and Regulatory Coordinator.
The Quality and Regulatory Coordinator will assist with quality assurance, inventory
management, and shipping and receiving of cannabis products. Key tasks include maintaining
compliance with cannabis regulations and Good Production Practices (GPP), supporting
inventory tracking, and ensuring proper documentation of production and shipping activities.
The role also involves assisting in audits, monitoring sanitation procedures, and reviewing batch
reports for quality compliance. The ideal candidate will be flexible, able to multitask in a fast-
paced environment, and support other duties such as packaging and production when needed.
Responsibilities:
• Maintain and update SOPs, GPP, and GDP to ensure compliance with cannabis
regulations and Health Canada standards.
• Ensure production staff follow approved SOPs, GPP, and GDP to produce consistent,
high-quality cannabis products.
• Assist in creating new SOPs and collaborate with managers on process improvements.
• Ensure accurate record-keeping and proper documentation practices.
• Conduct internal and vendor audits and assist with external audits and regulatory
inspections.
• Track and maintain accurate production, shipping, and inventory records.
• Review batch reports for compliance with GPP/GMP standards and submit to Quality
Assurance Personnel (QAP).
• Assist in investigating complaints, managing deviations, and implementing CAPA.
• Coordinate with shipping/receiving to track cannabis, materials, and supplies.
• Perform daily production area inspections (sanitation, scale calibration, packaging,
labeling).
• Verify sanitation logs and approve line clearance before production starts.
• Assist with production duties as required.
• Manage ERP entries for bin movements, inventory labeling, batch updates, and stock
levels.
• Ensure ERP data matches physical inventory and collaborate with departments on
adjustments.
• Perform routine ERP audits to maintain data accuracy and compliance.
• Other duties as assigned.
Must Have:
• 2-3 years of experience in Quality Assurance/Quality Control within cannabis, food, or
pharmaceutical manufacturing.
• Strong knowledge of cannabis regulations, ISO, HACCP, GMP, and other quality systems.
• Proficient in MS Office (Word, Excel, Outlook, PowerPoint) and experience with ERP
systems for inventory management and production tracking.
• Ability to perform inventory management tasks within an ERP system, including bin
movements, labeling, batch tracking, and maintaining accurate stock levels.
• Familiarity with inventory reconciliation and ERP data accuracy to ensure alignment with
physical counts.
• Strong understanding of Good Production Practices in the cannabis industry.
• Health Canada security clearance or PIC status is preferred. A/QAP are welcomed to
apply.
• Excellent written and verbal communication skills with the ability to document and
report effectively.
• Ability to thrive in fast-paced, changing environments with strong problem-solving skills.
• Exceptional attention to detail, accuracy, and organizational skills.
• Flexibility and willingness to take on additional tasks and support cross-functional
teams.
• Ability to work independently as well as collaboratively within a team.
• Ability to lift up to 40lbs and stand for extended periods.
• College diploma in a science-related field is a plus.
• Successful candidates will be required to provide a clear criminal record check.
