About the Role

We’re hiring our first Office Manager / Executive Assistant to help scale Artie’s operating engine.

This is not a “keep the lights on” role. You’ll build the systems that keep the company running. You’ll partner directly with founders, influence how we operate day-to-day, and set the standard for operational excellence as we grow.

You’ll be the connective tissue across the company — ensuring our office runs smoothly, our executives are focused on the highest-leverage work, and our team has what they need to perform at a high level.



What you’ll do

  • Own executive support end-to-end
  • Manage complex calendars across founders and leadership
  • Prioritize ruthlessly — protecting time for deep work, strategic thinking, and recruiting
  • Coordinate meetings, investor updates, offsites, and executive travel
  • Draft, proofread, and manage sensitive communications with precision and discretion
  • Anticipate needs before they surface
  • Build the operating backbone of the office
  • Run day-to-day office operations for our SF headquarters
  • Manage vendors, leases, facilities, IT coordination, and office logistics
  • Own budget tracking for office and administrative expenses
  • Create systems for onboarding, workspace setup, and team support
  • Drive internal coordination & execution
  • Ensure meetings are purposeful, well-prepared, and action-oriented
  • Track follow-ups and drive accountability across teams
  • Support recruiting coordination and candidate experience
  • Help plan company events, team offsites, and culture-building initiatives
  • Create scalable processes
  • Build repeatable systems for scheduling, documentation, travel, onboarding, and vendor management
  • Identify operational gaps and proactively fix them
  • Bring structure to ambiguity in a fast-moving startup environment
  • Be a culture carrier
  • Help make our office a place people are excited to show up to
  • Maintain high standards for organization, hospitality, and detail
  • Support an in-person, high-performance environment


What we’re looking for

  • Executive support mastery:
  • 2-4+ years supporting senior executives or founders in fast-paced environments
  • Experience managing complex, high-volume calendars and shifting priorities
  • Comfortable handling confidential information with maturity and discretion
  • Proven ability to operate independently without constant direction
  • Operational excellence:
  • Strong systems thinker — you bring order to chaos
  • Exceptional attention to detail (nothing slips through the cracks)
  • Experience managing vendors, facilities, or office operations
  • Comfortable owning budgets and tracking expenses
  • Extreme ownership:
  • Never drop the ball — internally or externally
  • Anticipates problems and solves them before they escalate
  • Takes pride in making things run seamlessly
  • High agency & adaptability:
  • Thrives in ambiguity and rapid change
  • Comfortable switching from strategic planning to hands-on execution
  • Willing to do what it takes — from board prep to moving furniture before an all-hands
  • Strong communicator & collaborator:
  • Clear, concise written and verbal communication
  • Able to work across founders, engineers, investors, and external partners
  • Knows when to escalate and when to decide independently
  • In-person presence:
  • Excited to work 5 days/week from our SF office
  • Enjoys being at the center of team energy and culture

Compensation & Benefits

  • $80-120K base salary depending on experience
