Job Title: Client Services Coordinator (Personal Injury Law Firm)

Our client, a growing personal injury law firm, is seeking a professional and customer-focused Client Services Coordinator to serve as the primary point of contact for clients and prospective clients.
This role is ideal for someone with excellent communication skills who enjoys helping others in a fast-paced, client-focused environment.
As the first person clients speak with, you will answer incoming calls, provide updates, gather information, resolve basic issues, and ensure that important messages are communicated promptly to the appropriate paralegals and attorneys.
You will play a key role in maintaining a positive client experience throughout the legal process.
Key Responsibilities
- Answer and manage a high volume of incoming calls from prospective and current clients
- Provide exceptional customer service while maintaining professionalism and empathy
- Gather and document client information accurately
- Route calls and relay detailed messages to attorneys and paralegals in a timely manner
- Coordinate communication between clients, legal staff, medical providers, and insurance companies
- Assist clients with general questions regarding their case status (non-legal inquiries)
- Follow up with clients regarding requested documentation and outstanding items
- Assist in resolving routine communication issues with insurance carriers and other third parties
- Maintain accurate notes and client records within the firm's case management system
- Escalate urgent matters to the appropriate legal team members
- Perform additional administrative and client support duties as assigned
Qualifications
- High school diploma required; Associate's or Bachelor's degree preferred
- Previous experience in a customer service, call center, receptionist, legal assistant, medical office, or client support role preferred
- Excellent verbal and written English communication skills are required
- Spanish bilingual is strongly preferred
- Strong phone etiquette and active listening skills
- Ability to remain calm, compassionate, and professional when assisting clients
- Strong organizational skills with exceptional attention to detail
- Ability to prioritize multiple tasks in a fast-paced environment
- Proficiency with Microsoft Office (Outlook, Word, Excel)
- Experience with CRM or case management software is a plus
Preferred Qualifications
- Experience working in a personal injury law firm or legal office
- Experience communicating with insurance companies or healthcare providers
- Familiarity with legal terminology is a plus but not required
