DIVISION MANAGER 

General Statement of Duties  

The Division Manager is responsible for the coordination of all division resources to ensure that the  delivery of projects within the division are on time, within budget, meets the highest safety and contractual quality standards, and customer expectations. This role includes overseeing project  management, operations, safety, quality control, estimating and business development. 

Successful Division Managers will exhibit the traits and business acumen to successfully lead and grow  the division's profitability. The function of the Division Manager is to efficiently manage, plan, direct, and administer policies and goals for a division regarding profitability, performance, work competency,  and growth. 

Distinguishing Features of the Role 

The Division Manager role manages and directs the day-to-day activities of division staff. This position is  responsible for developing both short- and long-term plans to achieve divisional objectives and ensuring  the profitability and timely execution of projects. Maintaining close contact with clients to ensure their  satisfaction is a key aspect of the role. Additionally, the Division Manager enforces safety and quality  control policies while leading and mentoring project managers and superintendents to foster a  productive and efficient team environment. 

Duties and Responsibilities  

Business Development/Marketing: 

• Represent the company in new business opportunities through contacts with parties who are a  critical part of new project possibilities. 

• Secure follow-up work with existing clients based on performance. 

• Cultivate and maintain strong relationships with existing clients, subcontractors, and  Government agencies. 

• Identify opportunities for business growth, market expansion, and strategic partnerships. • Lead business development efforts, including proposal preparation, negotiation, and contract  management. 

Estimating: 

• Provide the division with sufficient estimating capabilities and proper direction. • Oversee the preparation of all bids, estimates, and budgets. 

• Work with the estimating department and approve all final bids for projects and change orders,  ensuring bids align with the strategic vision for the division. 

• Work with estimating teams to identify key project risks and develop plans to mitigate those  risks. 

Financial/Budget & Cost Control:

• Develop revenue, profit, and cash flow projections. 

• Develop and manage divisional budgets, forecasts, and financial reports. 

• Identify cost saving initiatives and operational efficiencies to improve the divisions performance. • Review, recommend, and monitor annual and long-term budgets to ensure adherence to  expense control and achievement of revenue projections. 

• Review in-depth financial analysis of projects monthly with a focus on schedule and cost,  tracking divisional profit and growth, and evaluating the division's performance as well as  identifying areas of improvement. 

Operations/Project Management: 

• Manage and direct day-to-day activities of division staff in line with established policies,  practices, and procedures. 

• Assist directly in establishing long- and short-term planning of objectives for the divisional office. • Effectively manage the overall planning and implementation of multiple division projects simultaneously. 

• Provide the division with appropriate staff, resources, and direction required to fulfill business  development, financial, estimating, and operational goals. 

• Oversee performance of the planning and execution phase of contract commitments to ensure  profitability and timely execution of work. 

• Maintain close contact with the owner and architect during all phases of contracts. • Plan, organize, direct, and control all operations, personnel, budgets, and policies for the office. • Monitor progress and implement effective mitigation strategies when necessary to meet goals. 

People/Organization: 

• Foster a culture of collaboration, accountability, and continuous improvement within the  division. 

• Responsible for identifying, developing, and aligning high-performance teams and individuals to  meet organizational goals. 

• Coordinate and continually monitor staff assignments and staff workloads; develop staffing  forecasts. 

• Foster an environment that emphasizes collaboration and coordination; provide feedback and  encourage learning to create growth opportunities; mentor team members. 

• Assist in the development of training strategies; oversee technical training and ensure the  technical competency of the division staff. 

Safety 

• Promote our safety culture, safety awareness, and adherence to OSHA regulations and  corporate safety policies. 

• Review safety investigations for all incidents, accidents, and near misses and implement  corrective actions throughout the division to prevent a recurrence.  

Essential Duties and Tasks  

• Coordinate all resources to ensure project delivery on time and within budget.

• Oversee planning and implementation of division projects. 

• Maintain client relationships and ensure customer satisfaction. 

• Enforce safety and quality control programs. 

• Develop and implement division business plans. 

Daily Tasks: 

• Lead by example with respect to safety, quality, and fostering a culture of continuous  improvement. 

• Communicate effectively with project teams including owners, vendors, subs, and staff. • Prepare for and attend meetings. 

• Review bids and change orders prior to submission to the owner. 

• Review purchase orders and subcontracts with project staff 

• Oversee the whole project management process from approving project deliverables to  initiating project reviews and ensuring risks are continuously assessed and mitigated. 

Weekly Tasks: 

• Use LHR to evaluate budget and cost on projects and review with project teams. • Evaluate the division's performance and identify areas of improvement. 

• Provide technical direction and professional support to division personnel. • Ensure staff is compliant with training and safety goals. Ensure that staff members comply with  the policies and procedures of the division. 

• Work with the HR Department to recruit new talent to grow the division, as well as oversee the  onboarding process and training of new division staff members. 

Monthly Tasks: 

• Conduct project cost reviews and review the project in-depth to schedule deliverables and  estimate costs. Review, with Division Area Superintendent, the status of existing projects  monthly and track division growth and profitability. 

• Prepare divisional revenue and cash flow forecasts. 

• Review and negotiate contracts on new projects.

Education and Experience: 

• Bachelor’s degree in Construction Management, Civil Engineering, or related field. • Minimum of 10 years of experience in construction management, with at least 5 years in a  leadership role. 

• Proven track record of managing large-scale construction projects successfully. Physical Requirements 

• Ability to work in an office and field environment. 

• Capability to walk, stand, and climb for extended periods. 

• Must be able to lift and carry materials up to 50 pounds. 

• Ability to work in various weather conditions. 

Desirable Education and Experience 

• Advanced degree in Construction Management or a related field. 

• Extensive experience in managing multi-million dollar construction projects. • Familiarity with Lean Construction practices and principles. 

Special Requirement 

• Must have valid driver's license
