Our client, a highly respected, mission-driven foundation and wealth office is seeking a sharp, discreet, and proactive professional to keep both the office and the bookkeeping engine running smoothly. This is a visible, trusted role in a small, tight-knit team that values faith, family, and philanthropy.
This is not a “sit at the front desk” job. It’s a backbone-of-the-organization position.
What You’ll Own
Office Operations
- Manage day-to-day office needs (supplies, kitchen, security system, phone system, maintenance coordination)
- Handle mail, post office runs, shredding, and general organization
- Prepare meeting materials and ensure the office runs seamlessly
- Serve as the steady, professional first point of contact (low call volume)
Bookkeeping & Financial Administration
- Process payables and write checks across multiple entities
- Record transactions in QuickBooks Desktop
- Order and manage check stock for various subsidiaries
- Track donations and maintain accurate records year over year
- Support compliance-related tracking (insurance renewals across multiple states)
- Assist with documentation related to Form 990 filings
- Become familiar with relationships across multiple affiliated entities
- Obtain notary certification (if not already commissioned)
Executive & Administrative Support
- Assist the President with calendar management
- Prepare detailed committee binders
- Use discernment in scheduling — knowing when to confirm before booking
- Provide thoughtful, high-level administrative support with professionalism

What They’re Looking For
Must-Haves
- Absolute discretion and sound judgment (confidentiality is critical)
- Strong organizational skills and initiative
- Proficiency in Microsoft Office (SharePoint & Word especially)
- QuickBooks Desktop experience
- Professional maturity and common sense
- Comfort in a small-office, high-trust environment
Nice to Have
- Nonprofit exposure
- Familiarity with QuickBooks Enterprise
- Experience supporting executives or boards/committees
