Depot Repair Coordinator

About the Role
We are looking for a dependable, detail-oriented Depot Repair Coordinator to support our Service and RMA operations. This role is all about accuracy, organization, and keeping repairs moving smoothly from start to finish. If you enjoy structured work, clear processes, and being an important link between multiple teams, you will feel right at home here.
You will manage the full lifecycle of RMA requests, track parts and components, update records, and communicate with both internal teams and customers. Your work ensures that repairs are handled quickly, correctly, and with a great customer experience.
What You’ll Do
- Manage the complete RMA workflow from intake through closure
- Scan and log inbound parts, assign disposition statuses, and track all component movement
- Maintain service records and close RMA cases with accurate documentation
- Complete inventory return forms for spare parts being restocked
- Organize and process customer returns on a daily basis
- Coordinate with Service, Inventory, Shipping, and Repair teams to keep work flowing
- Receive and track RMAs for key accounts, including items sent to third-party repair facilities
- Fulfill RMA component requests for Service Technicians and verify availability
- Check warranty coverage and provide timely updates to customers
- Process completed repairs and warranty returns, coordinating next steps with Shipping and Inventory
What You Bring
- Authorization to work in the U.S. and the ability to pass background and drug screenings
- Strong skills with Microsoft Office (Excel, Word, Outlook, Teams)
- Comfortable using Windows-based PCs, online tools, and email communication
- Ability to lift up to 30 pounds as part of daily tasks
- Strong attention to detail with a high level of accuracy in data entry
- Ability to stay organized in a fast-paced, multi-step workflow
- Strong time management skills and the ability to prioritize changing needs
- A proactive, reliable approach to independent and team-based work
