ABOUT THE OPPORTUNITY
Willoughby Capital Holdings, LLC seeks a Philanthropy Associate for The Jane and Daniel Och Family Foundation to support a dynamic portfolio of philanthropic initiatives and partnerships. Reporting to the Philanthropy Director, this individual will play a central role across grants management and stewardship, research and writing, project coordination, and broader operational support.
Working closely with senior leadership, the Philanthropy Associate will support impactful philanthropy across a broad range of issue areas and nonprofit partners. This is a collaborative, high-trust role that requires strong execution, responsiveness, and clear communication within a fast-paced environment.

Key responsibilities include:
Grants Administration, Research & Reporting
· Prepare clear, concise, and high-quality written materials including background memos, meeting summaries, presentations, agendas, and trustee updates.
· Manage and track grants throughout the full lifecycle process, ensuring timely completion of agreements, approvals, and key deliverables.
· Conduct research and due diligence on prospective and current grantee organizations, philanthropic initiatives, and related issue areas to support informed philanthropic decision-making.
· Ensure compliance with applicable statutes, regulations, and requirements across key initiatives and projects.
· Support stewardship, portfolio coordination, and related administrative processes while maintaining accurate records, documentation, and workflows.
Operations, Systems, & Team Coordination
· Partner with colleagues across the family office to support effective communication, coordination, compliance, and execution across philanthropic initiatives and projects.
· Coordinate meetings, briefings, calendars, and special projects while ensuring strong follow-through and responsive information flow across the team.
· Evaluate and strengthen systems, templates, workflows, and operational processes to support an organized and evolving philanthropic function.
· Identify opportunities to leverage technology and AI-enabled tools to streamline administrative processes, improve efficiency, and enhance team operations.

The ideal candidate will bring:
· Administrative and/or Project Coordination Experience – 3+ years of experience in philanthropy, nonprofit administration, executive support, project coordination, or other relevant roles.
· Writing, Communication & Research Skills – Excellent writing, editing, and research skills, including the ability to prepare clear, polished, and succinct materials in a fast-paced environment.
· Project Management & Operational Excellence – Strong organizational and project management skills, exceptional attention to detail, and the ability to manage multiple priorities with follow-through and care.
· Technology & Systems Orientation – Strong technical proficiency, including Microsoft Office, Adobe Acrobat, and DocuSign, along with comfort learning and leveraging emerging technologies and AI tools.
· Judgment, Responsiveness & Initiative – Reliable with strong discretion, and responsiveness, with the ability to adapt quickly, manage shifting priorities, and communicate proactively.

Location: This position may be based in New York City or White Plains, NY, and requires approximately three days per week in the office.
Compensation: The salary range for this role is anticipated to be $80,000–$90,000, commensurate with experience, plus a competitive benefits package.
