We’re seeking a world‑class Executive Assistant who operates as a strategic extension of the founder—protecting time, compressing decisions, elevating communication, and driving follow‑through across business and personal priorities. You will manage the founder’s calendar, inbox, decisions, and operational rhythm with precision, clarity, and proactive judgment.
This is not a traditional administrative role. This EA will function as the founder’s right hand—someone who thrives in fast-paced environments, anticipates needs before they appear, and transforms complexity into order and momentum.
Responsibilities
Executive Time & Calendar Mastery
- Own the founder’s calendar with zero friction, full context, proactive buffering, and optimized weekly flow.
- Reduce context switching, prioritize high-leverage work, and orchestrate seamless scheduling systems.
- Anticipate conflicts, opportunities, and prep needs before they arise.
Inbox Triage & Executive Communication
- Triage, filter, and prioritize the founder’s inbox and communication channels.
- Draft and respond on behalf of the founder using consistent tone, clarity, and decisiveness.
- Maintain timely, high-quality communication with internal and external stakeholders.
Decision Compression & 1-3-1 Thinking
- Present one problem, three options, and one clear recommendation to accelerate decision-making.
- Remove noise and surface only the signal the founder needs.
- Track decisions to ensure clarity, accountability, and follow-through.
Operational Foresight & Problem Anticipation
- “See around corners” and prepare materials, briefs, agendas, and resources in advance.
- Identify risks early and propose solutions before issues escalate.
- Maintain readiness for meetings, presentations, and travel.
High-Trust Confidentiality & Discretion
- Handle sensitive personal, financial, legal, and strategic information with absolute discretion.
- Manage secure document access, NDAs, and privacy best practices.
Project & Priority Management
- Track cross-functional priorities across business, personal, product, and events.
- Maintain clear timelines, owners, dependencies, and progress updates.
- Ensure all priorities align with revenue, leverage, and strategic outcomes.
Systems & Tool Fluency
- Use Google Calendar, Google Drive, CRM systems, password managers, and content/social tools proficiently.
- Build streamlined workflows, templates, and automations to keep operations tight and repeatable.
- Maintain clean, organized, and accessible digital systems.
Clear, Confident Written Communication
- Communicate directly, kindly, and decisively—never vague, never ambiguous.
- Produce crisp summaries, briefs, and written updates that drive action and clarity
Qualifications
- Previous experience supporting a Founder/CEO or senior executive in a high-velocity environment.
- Mastery of calendar management, inbox triage, and high-volume communication.
- Strong judgment, professionalism, and emotional intelligence.
- Experience with cross-functional coordination and complex project tracking.
- Expert-level written communication—concise, direct, and clean.
- High integrity with proven ability to handle sensitive information.
- Experience using Canva.
- Strong command of Google Workspace and modern productivity tools.
