Executive Virtual Assistant

Our client is seeking a highly organized and detail-oriented Virtual Assistant to support a rapidly growing business. This role is ideal for someone who thrives in a fast-paced environment, enjoys administrative and data-driven work, and wants to grow alongside a scaling company.

You’ll play a key role in freeing up high-value time by handling essential operational, administrative, and light sales-support tasks.

Key Responsibilities

• Order & Admin Support

o Enter and manage client orders (5–15+ per week) 

o Ensure accuracy of engraving instructions and order details 

o Track deliveries and maintain organized records 

• Research & Lead Generation

o Identify and research top real estate agents and offices 

o Gather and verify contact information (emails, phone numbers) 

o Maintain clean and structured prospect lists 

• CRM & Email Management

o Manage and update contacts in CRM (currently Constant Contact) 

o Assist with email campaigns and follow-ups 

o Ensure contacts are correctly segmented and entered into workflows 

• Client Gifting & Audits

o Send client gifts (cards, brownies, cookies) via platforms like AMCards.com 

o Audit gifting activity to ensure no client is missed 

• Light Client Communication

o Send follow-up emails to past/current clients 

o Occasionally call warm clients to check in or prompt reorders (no cold calling) 

• Special Projects

o Assist with research projects (including occasional phone calls to customer service) 

o Support process improvements and system organization 

What We’re Looking For

• Exceptional attention to detail (zero room for errors-especially in orders) 

• Strong written and spoken English (perfect grammar and spelling required) 

• Highly organized, reliable, and proactive 

• Comfortable with repetitive/admin-heavy tasks (and actually enjoys them) 

• Tech-savvy and quick to learn new tools 

Preferred Experience

• Google Sheets / Excel 

• CRM systems (e.g., Constant Contact, HubSpot, GoHighLevel, etc.) 

• Gmail and client communication 

• Data entry, research, or administrative support roles 

Bonus Points

• Experience supporting sales teams or entrepreneurs 

• Familiarity with real estate industry workflows 

• Ability to suggest and improve systems/processes 

• Comfortable handling multiple responsibilities independently

This role starts part-time but has strong potential to expand into a long-term, more integrated position (including client relationship management and deeper operational support) for the right person.
