Compensation: $80,000 - $90,000


The Payroll Tax & HRIS Specialist serves as the in-house expert for ADP Workforce Now (WFN) and eTime (Enhanced Time) payroll, supporting multi-jurisdiction payroll tax compliance across the U.S., Puerto Rico, and Canada. This role leads the payroll-impacting WFN and eTime configuration, owns end-to-end payroll tax compliance, and is the primary resource for team members, managers, and leaders' questions in the shared payroll inbox. Success means the inbox shrinks over time as you modernize payroll operations, implement AI tools to handle routine inquiries, and keep your skills sharp by remaining active in the processing of each payroll cycle.


As a Payroll Tax & HRIS Specialist, you will:

  • Own the shared payroll inbox as the first point of contact, triaging and resolving high-volume WFN and eTime inquiries end-to-end, including ADP access and time setup, PTO and accrual balances, timecard corrections, and pay questions.
  • Fix issues at the root cause by building automations and writing SOPs, rather than applying one-time fixes.
  • Implement payroll efficiencies with AI by deploying and refining AI-based workflows to handle tier-1 inquiries and maintaining the resources behind them.
  • Train and advise team members and managers on eTime and WFN self-service tools, and counsel leadership on payroll and timekeeping policies and system capabilities.
  • Serve as system lead and subject matter expert for all payroll-impacting areas of WFN and eTime, configuring and maintaining pay rules, accrual profiles, labor level sets, holiday schedules, and time-off policies in alignment with organizational changes, union contract provisions, and federal, state, and provincial regulations.
  • Maintain WFN foundational data, including earnings and deduction codes, payroll groups, security profiles, and workflow approvals, and audit timekeeping records, system policies, and data integrity for compliance with legal standards and internal controls.
  • Own multi-jurisdiction payroll tax compliance for the U.S., Puerto Rico, and Canada. Including federal, state, provincial, local, and reciprocity rules and the tax treatment of earnings and deductions.
  • Manage tax registrations and account maintenance as the company expands into new jurisdictions, and review, reconcile, and file quarterly and annual payroll tax data, preparing and tracking amendments.
  • Research and resolve tax notices and agency correspondence to closure, and audit HRIS tax setups against jurisdiction requirements for appropriate withholding, filing, and record keeping.
  • Administer specialized compliance, including unclaimed wage filings, Canada ROEs, garnishment, child support, and court-order requirements.
  • Process assigned payrolls each cycle, reviewing and processing payroll adjustments, including PTO, disability, bereavement, and other leaves.
  • Build and maintain reporting in WFN and eTime for business needs, compliance metrics, and audits, while staying current on ADP product roadmaps and regulatory changes and contributing to broader Total Rewards projects.


As a Payroll Tax & HRIS Specialist, you have:

  • Successfully integrated automations and built efficiencies leveraging AI
  • 5+ years of combined payroll and/or HRIS experience supporting high-volume, multi-state populations
  • 3+ years of hands-on ADP WFN and eTime (Enhanced Time) experience, including system configuration and administration — not solely end-user processing
  • 3+ years owning multi-state payroll tax compliance — registrations, filings, reconciliations, amendments, and notice resolution — with strong knowledge of payroll taxes and regulatory compliance across multiple jurisdictions
  • Excellent analytical and troubleshooting skills with close attention to detail
  • High proficiency in Microsoft Excel, including VLOOKUP, IF statements, pivot tables, and charts
  • Excellent communication and relationship-building skills, with the confidence to advise audiences from front-line team members to senior leaders


Preferred:

  • ADP certifications, such as Certified Payroll Specialist in ADP Workforce Now
  • Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC)
  • Experience with ADP SmartCompliance for employment tax
  • Experience supporting Canada payroll and ROE administration
  • Experience with union environments and contract-driven pay rules
  • Experience using AI tools to automate or streamline payroll or HR workflows


Work Details

  • Work Location: Hybrid in Walton Hills, OH — currently 3 days onsite with 1 day remote, transitioning to 4 days onsite with 1 day remote in 2027
  • Placement Type: Direct Hire
  • Estimated Schedule: Full-time
  • Travel Requirements: Approximately 5–10%, as necessary based on operational needs
