This group works closely with internal stakeholders, clients, and international partners, requiring an administrative professional who can operate with discretion, precision, responsiveness, and strong cross-cultural communication.

  • Engagement: W2 only (no C2C/1099)
  • Work directly alongside professionals supporting equity sales and trading activities.
  • Gain exposure to a globally connected financial services environment with regular interaction across U.S. and Japan-based teams.
  • This position is fully onsite in New York City, five days per week.

How You Will Make An Impact

  • Provide day-to-day administrative and organizational support to a busy equity sales and trading team.
  • Process employee expenses, manage reimbursement submissions, track outstanding items, and help ensure timely payment.
  • Coordinate domestic and international business travel, client meetings, events, conference calls, and meeting rooms.
  • Provide desk support, including telephone coverage and coordination of day-to-day requests.
  • Communicate with internal and external stakeholders, including colleagues and affiliates based in Japan.
  • Take ownership of ad hoc administrative assignments and help resolve routine operational issues efficiently.

Are You an Experienced Administrative Professional Ready to Make an Impact?

  • Bring approximately 5–7 years of relevant administrative support experience, ideally within a professional, financial services, or similarly fast-paced corporate environment.
  • Demonstrate strong written and verbal communication skills with the confidence to interact effectively across organizational levels.
  • Possess strong proficiency with Microsoft Office applications.
  • Experience with Concur or a similar expense management platform is preferred.
  • Japanese/English bilingual ability is preferred and would be particularly valuable for communication with international stakeholders.
  • Demonstrate excellent organizational skills, attention to detail, and the ability to manage multiple competing priorities and deadlines.
  • Take ownership of responsibilities, consistently follow through, and use sound judgment to resolve everyday issues.
  • Work collaboratively and flexibly while developing strong relationships with colleagues and external stakeholders.
