Staff Bookkeeper / Assistant to Controller

Our client is a growing real estate management and middle-market business management company with a diversified portfolio of holdings and operating entities. Their work spans multiple real estate assets and affiliated companies, requiring precise inter-company accounting, cash management, and reporting. This position serves as the second-in-command to the Controller, responsible for accurate financial data entry, reconciliation, and record-keeping across numerous bank accounts and entities.
Responsibilities:
- Enter, verify, and reconcile large volumes of transactions across multiple company bank accounts in QuickBooks and QuickBooks Online.
- Ensure accuracy of inter-company transfers and allocations between entities.
- Perform bank reconciliations, track daily cash activity, and monitor account balances.
- Work closely with the Controller on month-end close, trial balances, and supporting schedules.
- Maintain digital filing systems of invoices, receipts, and statements.
- Assist in preparing periodic management reports and supporting schedules for the CFO.
- Utilize Rent Manager and Yardi for property-related accounting entries, rent tracking, and reporting.
- Review data for accuracy and completeness, identifying discrepancies before submission.
- Provide direct administrative and analytical support to the Controller and assist in coordinating with the CFO when required.
Qualifications:
- Hands-on QuickBooks experience
- Thrives in a fast-paced but structured environment
- Has prior exposure to real estate management software such as Rent Manager and Yardi.
- Minimum 3–5 years of relevant bookkeeping or accounting experience; real estate or property-management background preferred.
- Proficiency in QuickBooks Desktop, QuickBooks Online, Rent Manager, and Yardi (required).
- Strong understanding of multi-entity accounting, journal entries, and reconciliation processes.
- Exceptional attention to detail, consistency, and data accuracy.
- High level of organization, discretion, and professional communication skills.
- Ability to work full-time on-site in Montvale, NJ, with limited flexibility for remote work.
Schedule: Monday–Friday, 9:00 AM–5:00 PM (some remote flexibility)
