We are seeking a dedicated and organized ABA Scheduling & Case Manager to support our growing Applied Behavior Analysis (ABA) therapy team. In this essential administrative role, you will ensure seamless service delivery by managing schedules, coordinating client care, and serving as the key liaison for families and staff. Your work directly impacts the quality and consistency of therapy for children and families receiving ABA services.


Responsibilities


  • Case Management & Scheduling: Create, maintain, and optimize staff schedules; match qualified technicians (e.g., RBTs) to clients based on needs, availability, location, and expertise; proactively manage coverage for absences, cancellations, and last-minute changes to minimize disruptions.
  • Communication Hub: Act as the primary point of contact for parents/guardians; provide timely updates on schedules, progress, and any changes; promptly address and resolve concerns with professionalism and empathy.
  • Documentation & Compliance: Track insurance authorizations and re-authorizations; monitor service hours to prevent overages or underutilization; ensure all client documentation, records, and compliance requirements remain current and accurate.
  • Initial Assessments Coordination: Schedule and coordinate initial client assessments, gathering necessary information and ensuring smooth onboarding into services.
  • Operational Support: Collaborate closely with clinical teams (BCBAs, supervisors, and therapists) to identify and resolve scheduling bottlenecks; contribute to overall operational efficiency and process improvements.


Qualifications


  • Previous experience in ABA administration, behavioral health coordination, care/scheduling coordination, or a related administrative role in healthcare/therapy settings.
  • Exceptional verbal and written communication skills with the ability to interact effectively with families, staff, and clinical teams.
  • Strong organizational and problem-solving abilities; detail-oriented with the capacity to manage multiple priorities in a fast-paced environment.
  • Solid understanding of ABA therapy principles and insurance authorization processes (e.g., tracking units, authorizations, and compliance requirements).
  • Experience with ABA-specific scheduling tools/software or EHR systems.
  • Familiarity with home-based or clinic-based ABA service delivery models.
