Special Needs Girls Program Manager

Our client is seeking a Program Manager, responsible for overseeing after-school programs, volunteer coordination efforts, and trips/events for children living with illness or in families facing medical challenges. This position directly supervises the Volunteer Coordinator, ensuring the recruitment, training, and deployment of volunteers aligns with program goals. The role requires strategic planning, hands-on execution, and administrative oversight to ensure children and families receive high-quality, meaningful, and consistent programming.

 

Responsibilities:


  • Directly supervise the Volunteer Coordinator, providing guidance, support, and performance feedback
  • Set annual goals for volunteer engagement in alignment with organizational objectives
  • Ensure seamless coordination between program needs and volunteer deployment
  • Oversee planning and delivery of consistent, engaging weekly programming, including:
  • Academic support, arts & crafts, music, sports, and themed activities
  • Nutritious, kosher snacks and light meals for participants and volunteers
  • Ensure a consistent reliable location for continuous seamless programing
  • Oversee transportation coordination
  • Oversee budget
  • Ensure all participant medical and dietary needs are documented and accommodated
  • Maintain a safe, supportive, and inclusive environment for all children and volunteers
  • Collaborate on strategic direction and oversight with the Volunteer Manager for onboarding and placement of volunteers across hospital/home visits, and special events
  • Ensure volunteer orientation and training programs include sensitivity to illness, family dynamics, and program-specific expectations
  • Manage volunteer coordinator scheduling and deployment of volunteers for Hospital visits, Home support, program support, Trips and special events
  • Oversee tracking of volunteer hours, assignments, and engagement in Salesforce, ensuring data accuracy and leveraging insights for program improvement
  • Plan and execute seasonal outings and celebrations (e.g., Day Trips, birthday parties).
  • Support large events working with the Volunteer Manager
  • Arrange transportation, meals, and medical accommodations
  • Arrange special request entertainment/parties including entertainment, speaker, activity, food, and volunteers
  • Coordinate with vendors, sponsors, and community partners for event support
  • Develop activities, entertainment, and family engagement opportunities
  • Maintain an annual activity plan to keep programming fresh, exciting, and age appropriate
  • Rotate themes and introduce new activities to spark curiosity and creativity
  • Incorporate interactive, hands-on projects to encourage participation
  • Introducing guest workshops, performances, and special surprises to make sessions memorable
  • Track volunteer and program activity, hours, and assignments in Salesforce
  • Provide timely reporting and program updates to leadership
  • Assist in ad hoc assignments



Qualifications:


  • High School Diploma or equivalent
  • Minimum 3 years’ experience in youth programming, volunteer management, or event planning
  • Strong leadership and organizational skills to manage multiple programs and initiatives
  • Excellent communication and interpersonal skills for working with volunteers, families, and staff
  • Ability to design engaging activities and events
  • Ability to multitask, prioritize, and adapt in a dynamic environment
  • Proactive and enthusiastic approach to community engagement and support
  • Flexible and committed to supporting events and initiatives throughout the year
