The National Events Coordinator is responsible for the strategic planning, project management, and execution of all events nationwide. This position is a key driver of organizational visibility and revenue generation, managing logistics for major annual initiatives including our Veterans Day and Memorial Day campaigns, Ambassador Summit, Warships Seminar Series, and annual Gala. The Coordinator ensures that each event strengthens donor engagement, reinforces our mission, and delivers measurable fundraising outcomes.
Key Responsibilities
Event Planning & Execution
- Lead the planning and implementation of all events and campaigns, including:
- Veterans Day Campaign (Ruck & Roll): Coordinate nationwide gym and ambassador participation, materials distribution, and social media tie-ins.
- Memorial Day Campaign: Oversee planning and execution of grassroots events and local fundraisers.
- Ambassador Summit: Manage site selection, contracts, travel logistics, and programming for the rotating annual summit.
- Warships Seminar Series: Partner with docked museum ships across the country to produce a high-visibility seminar featuring elite Jiu Jitsu instructors.
- Gala: Manage all planning, vendor relations, venue negotiations, and sponsorship activations.
Project Management
- Build detailed event timelines, budgets, and task matrices for each major initiative.
- Coordinate cross-functional collaboration among staff, board members, ambassadors, and sponsors.
- Track milestones, deliverables, and KPIs for event success.
- Manage vendor and venue contracts, insurance requirements, and permits.
Sponsorship & Revenue Development
- Work closely with the Development and Marketing teams to secure sponsorships and in-kind partnerships for each event.
- Ensure sponsorship deliverables and brand activations are executed seamlessly.
- Track event ROI and support year-end reporting for donors and the board.
Communications & Marketing Support
- Collaborate with marketing to ensure cohesive branding, messaging, and digital promotion for all events.
- Assist in producing collateral (signage, press materials, social posts, recap videos).
- Coordinate post-event reporting and stewardship for participants and sponsors.
Travel & On-Site Execution
- Travel to event locations to oversee logistics, production, and on-site management.
- Lead volunteer and ambassador coordination during events.
Qualifications
- Bachelor’s degree in Event Management, Marketing, Communications, or related field preferred.
- 3–5 years of experience managing large-scale events, preferably within a nonprofit or mission-driven organization.
- Demonstrated ability to manage multiple projects and budgets simultaneously.
- Excellent communication, vendor negotiation, and problem-solving skills.
- Experience coordinating national or multi-site events is a strong plus.
- Familiarity with veteran or adaptive sports communities preferred.
- Ability to travel 25–35% annually and work occasional nights/weekends during events.
