Position Summary:

The HR Coordinator serves as a pivotal support role within our Fort Lee, NJ headquarters. This multifaceted role entails providing comprehensive executive assistance and operational coordination to facilitate seamless business operations and foster engagement initiatives.

Main Responsibilities:

  • Deliver executive and VP-level support encompassing travel arrangements, expense reporting, calendar management, meeting coordination, and event planning, including off-site dinners, team-building activities, etc.
  • Facilitate smooth operations during high-volume weeks, such as Commercial Week, Plasma Week, and Sales Training, by ensuring onsite availability as needed.
  • Provide administrative support through tasks such as creating PowerPoint presentations, preparing meeting materials, maintaining conference room readiness, and generating reports using basic to intermediate Excel skills.
  • Lead engagement activities and corporate social responsibility (CSR) initiatives both onsite and virtually, fostering a positive and inclusive work environment.
  • Assist teams in the Purchase Requisition-Purchase Order (PR-PO) process within the SAP system.
  • Support various operational processes, including new employee onboarding/offboarding, regulatory documentation assistance, interview scheduling, and organizational chart maintenance.
  • Ensure audit readiness and support site activities during audits.
  • Undertake additional ad-hoc projects as required to meet evolving business needs.

Requirements/Skill Set:

  • Bachelor's degree is a prerequisite.
  • Minimum of three years' office experience, or equivalent combination of education and experience, preferably in an Assistant or Coordinator role.
  • Exceptional verbal, written, and interpersonal communication skills, coupled with a positive attitude.
  • Demonstrated professionalism with the ability to exercise discretion and maintain confidentiality.
  • Strong organizational and interpersonal skills are essential.
  • Proficiency in Microsoft Suite products is mandatory.
  • Self-motivated individual with a proactive approach and willingness to adapt to changing business demands.
  • Fluency in Spanish is preferred; knowledge of Italian is advantageous.
