Executive Assistant to Partner


Location: New York, NY


Reports to: The Partner. Coordinates with the Head of HR on administrative matters.


Compensation: $100,000 to $125,000 base, plus discretionary bonus


About the role

Our partner is seeking an experienced Executive Assistant to support one of the firm's Partners.


This individual will serve as a trusted extension of the executive, helping manage priorities, communications, client relationships, scheduling, travel, and day-to-day execution. The ideal candidate is highly organized, proactive, resourceful, and comfortable operating with a high degree of autonomy in a fast-paced environment.


This is not a traditional administrative role. We are seeking someone who takes ownership, exercises sound judgment, anticipates needs, and helps create leverage for a senior executive focused on client relationships, business development, and transaction execution.


The successful candidate will work closely with the Partner, internal deal teams, and an external personal assistant to ensure priorities remain organized, communication flows efficiently, and critical items receive timely attention.


Key Responsibilities

• Manage a complex and dynamic calendar, balancing competing priorities and making informed scheduling decisions.

• Coordinate domestic and international travel, itineraries, meetings, and logistics.

• Draft, coordinate, and manage communications on behalf of the Partner.

• Serve as a primary point of contact for internal and external stakeholders.

• Track action items, follow-ups, and key deliverables to ensure priorities remain on schedule.

• Prepare meeting materials, agendas, briefing notes, and supporting documents.

• Maintain CRM systems, client records, and relationship management activities.

• Help maintain regular communication and follow-up with key clients and business relationships.

• Coordinate closely with the Partner's external personal assistant to ensure seamless support across professional and personal commitments.

• Manage expenses, invoices, approvals, and administrative workflows.

• Support special projects, process improvements, and operational initiatives as needed.

• Leverage AI and productivity tools to improve organization, efficiency, and workflow management.


Preferred Experience

• Investment banking, private equity, consulting, asset management, legal, or other professional services environments.

• Experience supporting senior revenue-generating executives.

• Familiarity with CRM systems such as DealCloud, MadeMarket, HubSpot, or similar platforms.


Qualifications

• 3-5+ years supporting senior executives, partners, founders, or C-suite leaders.

• Exceptional organizational, communication, and project management skills.

• Strong judgment, professionalism, and discretion.

• Ability to anticipate needs and proactively solve problems.

• Comfortable managing multiple priorities in a fast-paced environment.

• Strong written communication skills and ability to adapt to an executive's preferred communication style.

• Experience working independently with minimal supervision.

• Advanced proficiency with Microsoft Office, Outlook, and modern productivity tools.

• Interest in leveraging AI tools such as ChatGPT, Claude, Copilot, or similar technologies.

*Please note: This position is located in New York City. You are expected to commute to the Midtown Manhattan office Monday through Friday from 9:30am - 6pm.*
