Position Summary

We are seeking a highly organized and proactive Operations Coordinator to support and optimize the day-to-day operations of PAL Solutions USA. This role is responsible for managing key business processes, including sales administration, order fulfillment, inventory management, imports, financial administration, and business reporting. The successful candidate will play a critical role in ensuring operational efficiency, data quality, and scalable business processes while supporting the continued growth of the organization.

Key Responsibilities

• Coordinate and optimize operational processes across sales administration, order fulfillment, inventory management, and financial administration.
• Manage import operations and logistics for products sourced from Switzerland.
• Maintain accurate product, service, pricing, customer, and installed-base data within ERP and CRM systems.
• Monitor inventory levels and support forecasting to ensure business continuity and customer satisfaction.
• Support financial administration, reporting, payroll coordination, and operational controls.
• Prepare regular business, operational, and financial reports for management and the Board of Directors.
• Manage customer and installed-base databases, ensuring data accuracy and integrity.
• Support recruitment activities, employee administration, and employee engagement initiatives.
• Coordinate with external partners, including payroll and service providers.
• Support the General Manager and Head of PAL Solutions in building and scaling the U.S. organization.
• Ensure compliance with company policies, procedures, and operational standards.

What You Bring

Experience & Qualifications

• Minimum of 3 years of experience in operations, administration, business coordination, or a similar role.
• Experience in operations management within a sales, service, or technology-driven organization is preferred.
• Strong understanding of business processes, operational efficiency, and continuous improvement.
• Proven proficiency with ERP and CRM systems.
• Advanced Microsoft 365 skills, including Excel, Word, Outlook, and PowerPoint.
