We are a family owned and operated construction company focused on Arizona’s nuclear and fossil fuel plant maintenance needs. We are seeking an Operations Administrator to join our team!
We are seeking a detail-oriented and experienced Operations Administrator to support daily operations, financial administration, and project accounting activities for our construction and industrial operations, including support for the Palo Verde power plant.
This role is primarily based out of the main office, with regular site visits to both the Palo Verde plant and other job sites as required. The position works closely with operations leadership, project teams, and the Financial Controller to ensure operational execution, financial accuracy, compliance, and effective coordination between office and field personnel.
Responsibilities:
Operations & Administrative Support
- Provide direct administrative support to operations by coordinating schedules, documentation, reporting, outages, and site-related activities
- Serve as a liaison between the main office, plant personnel, project teams, contractors, and management
- Assist in coordinating training, certifications, onboarding, and site access requirements
- Maintain accurate operational, compliance, safety, and project documentation
- Track operational deadlines and ensure timely completion of administrative and regulatory requirements
- Answer and route incoming phone calls professionally and serve as a first point of contact for internal and external inquiries.
- Manage incoming and outgoing mail, deliveries, and correspondence.
- Plan, coordinate, and support company events, meetings, training, and seminars in collaboration with management.
- Perform general office and administrative duties to support daily operations and maintain an organized, efficient work environment.
Accounting, Finance & Account Management
- Support the Financial Controller with financial management, reporting, planning, and analysis
- Assist with day-to-day accounting operations including accounts payable, accounts receivable, payroll, and general ledger transactions
- Support full-cycle accounting, including reconciliations, and month-end and year-end close
- Assist with construction-specific accounting, including:
- Contract setup and billing
- Change orders and retention tracking
- Lien releases and certified payroll
- Insurance and subcontractor compliance
- Track job costs and assist in preparing project-level financial reports
- Understand contract payment terms to support positive project cash flow
- Prepare, review, and enter invoices and change orders in coordination with project teams
Compliance, Risk & Reporting
- Support compliance with construction and industrial regulations, including prevailing wage laws, union and non-union payroll, and state/local tax filings
- Maintain and issue Certificates of Insurance (COIs) and track insurance compliance
- Assist with union reporting, audits, and documentation preparation
- Support internal and external audits, inspections, and financial reviews
The successful candidate will have:
- High School diploma or equivalent required
- Associate or Bachelor’s degree in Accounting, Business Administration, or related field preferred
- 5+ years in administrative, operations, or accounting roles
- Construction, industrial, or power plant experience strongly preferred
- QuickBooks (required or strongly preferred)
- Microsoft Office (Excel proficiency required)
- Paylocity – Payroll
- Strong attention to detail and financial accuracy
- Ability to work cross-functionally with office and field teams
- Strong communication and organizational skills
- Proactive problem-solving and deadline management
- High level of confidentiality and professional discretion
