COMMERCIAL PROPERTY MANAGER JOB DESCRIPTION
This position is accountable for the day-to-day operation and financial performance of the Fusco real estate portfolio. The Commercial Property Manager will manage a portfolio containing approximately 40 properties totaling 1 million square feet of space. The portfolio consists of primarily retail and industrial properties, with a few residential and office spaces in Delaware. The portfolio is owned by a group of family-affiliated entities. The Commercial Property Manager shall effectively collaborate with internal Accounting, Construction, Facilities, and Real Estate departments, as well as external third-party service providers and vendors. At all times, the role shall provide a high level of professionalism and customer service to tenants and internal employees, while protecting the interests of the property owners. This position does not involve managing others.
Duties & Responsibilities for the portfolio include but not limited to:
Real Estate/Administrative:
1. Manage properties to maximize value to owners, tenants, and community.
2. Interpret and enforce lease agreements with tenants verbally and by written notice letters.
3. Communicate landlord and tenant responsibilities in a timely and professional manner.
4. Provide proactive tenant communications in addition to scheduled memorandums.
5. Manage certificates of insurance for tenants and vendors (with administrative assistance).
6. Manage insurance claims from start to final resolution among all parties.
7. Perform financial analysis of properties and clearly communicate findings, options, and recommendations.
8. Document Management (electronic scanning and filing)
9. Maintaining positive and professional tenant and vendor relationships.
Accounting:
1. Review and approval of property specific invoices (coding is prepared by Accounts Payable).
2. Manage Accounts Receivables at all properties (with administrative assistance).
3. Handle all JP Court filings for possession and monetary judgments (Form 50 Agent, with administrative assistance).
4. Review and approve CAM, RE Tax and Insurance reconciliations (prepared by Property Management Accountant, “PMA”).
5. Review and approve tenant billings in accordance with lease agreement (prepared by PMA).
Examples include utilities, late fees, and tenant bill backs.
6. Responsible for preparing annual budgets for the designated portfolio and presenting to owners for approval.
7. Variance reporting and narrations are to be prepared and presented quarterly.
8. Responsible for planning capital expenditure replacements proactively with schedules and budgeted escrows.
Facilities:
1. Manage contracted services (landscaping, snow removal, trash removal).
2. Select, implement, and manage vendors/contractors.
3. Perform monthly Property Inspections, submit WO requests, and provide reporting to Director of Property Management.
4. Collaborate with Facilities Manager to fulfill repair, maintenance, and capital projects on a quality and timely basis.
5. Issue, manage and oversee Work Orders for completion with Facilities department and external third-party vendors.
6. Deliver possession of premises to tenants and perform move in/out inspections.
7. Maintain portfolio in good order and repair while maintaining clean and safe conditions.
Desired Skills and Experience:
1. This individual must have maintained a minimum of 5+ years’ experience with a commercial real estate company with similar CPM responsibilities.
2. The individual must be highly organized, self-motivated, customer service oriented with a demonstrated history of performance with internal team members.
3. A strong understanding of property financial performance with attention to detail.
4. A high quality and efficient work ethic is expected on a consistent basis.
5. General knowledge of accounting principles.
6. Excellent oral and written communication skills.
7. Maintain confidentiality of pertinent company data.
8. Superior time management skills and the ability to work independently.
Education:
1. A BA/BS degree in accounting, finance, real estate, or business is preferred, although not required. Significant and practical relevant experience will be considered.
2. A CPM or CCIM or equivalent certification is a plus.
3. Working knowledge of property management software is expected. We utilize Yardi Voyager and Elevate throughout the organization.
4. Intermediate to advanced knowledge of Microsoft Word, Excel and Outlook is required.
5. A valid driver’s license is required to travel to properties, inspect and meet with tenants and vendors on site using CPM’s vehicle.
Employment:
1. Full time & FLSA Exempt
2. Salary: Commensurate with experience, including fully paid Health Insurance with FSA & HRA, 401K with 6% Match
3. Onsite, Multiple locations
4. Immediate Supervisor: Director of Property Management
5. Monday to Friday, 7:30am to 4pm (After hours as needed for emergencies).
