Job Title: Executive and Personal Assistant

Salary: $50,000-60,000 yearly

Jaque is the Founder, Owner, and CEO of Jaque Bethke Design, and we’re seeking the perfect yin to her yang – an Executive / Personal Assistant to be Jaque’s right-hand person and empowering her to do what she does best, while you handle the rest!  

 

What we’re looking for:  

The Executive/Personal Assistant provides administrative support for Jaque. We are a small company doing big things, so we can guarantee that no two days will be the same and you’ll never be bored! You’ll work primarily from the main office in Scottsdale, with frequent local travel for errands and inventory and occasional national travel to support Jaque onsite with clients.   

 

Some of what you may be doing day-to-day:  

  • Scheduling – You will manage and maintain Jaque’s calendar, which includes scheduling meetings based on priority, and you will also be responsible for scheduling of project needs including coordinating subcontractors on job sites 
  • Inventory – Manage and maintain inventory of items stored in warehouses, ensuring that items are available and accessible when needed for projects (leveraging software Designer Link) 
  • Administrative Support – via PowerPoint creation / preparation, Excel spreadsheet tracking, and email management 
  • Relationship Management – Coordinate with clients, vendors, and subcontractors via email, phone, and in person 
  • Ordering and Shipping – Source and order décor items as needed, plus be available for shipping/receiving packages at the office or at the local shipping store 
  • Other areas where you may support Jaque include producing project estimates, invoicing, light bookkeeping, and more 

 

About You -  

  • 2 - 5 years’ experience as an executive assistant, office manager, or similar role 
  • Skilled in PowerPoint and Excel 
  • Bachelor’s degree preferred 
  • Ability to maintain a high level of confidentiality 
  • Excellent communication skills (verbal and written) 
  • Ability to prioritize and multitask 
  • Highly organized and detail-oriented 
  • Calm and focused under pressure 
  • Positive and collaborative 
  • Solutions-oriented 
  • Demonstrates good judgment and decision-making skills 
  • Extremely reliable and resourceful 
  • Gumby-like flexibility to handle whatever comes your way while thrilling in the fact that no two days are alike, and you’ll never be bored!
