Operations Manager / Compliance & Commercial Analytics Specialist

This French owned company is the exclusive US importer and distributor for its Parent Company's portfolio of wines. The core mission of the company is to continue to build the prestigious French wine houses of the group through expansion of distribution, strengthening of distributor relationships and a focus on well executed marketing plans.

 

JOB BASICS:

§ Location: Miami, FL – USA Headquarters - 4 days/week in office 1 day flex remote

§ Employment Type: Full-Time

§ Reports to: CEO/COO.

§ Collaborates with: Finance and Admin Director; Director of National Accounts – Off Premise; Marketing Manager, VP of Sales and Regional Sales Directors.

§ Future Growth: Potential to evolve into Finance & Operations Director

 

POSITION SUMMARY:

The Operations Manager / Compliance & Commercial Analytics Specialist ensures the smooth functioning of USA’s operational, compliance, and financial control processes. This role is positioned at the crossroads of Operations, Compliance, Finance, and Commercial Strategy, with growing responsibility for margin control, financial accuracy, and strategic performance analytics. The ideal candidate is a highly analytical professional with the ambition and capability to eventually oversee the company’s Finance function.


ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:


Commercial Analytics & Financial Control:

o  Own commercial financial reporting (depletions, pricing, margins, chargebacks, profitability by brand, chain, distributor).

o  Build dashboards and tools to monitor:

·       Gross-to-net performance

·       Allowances & program spending

·       P&L impact of sales decisions

·       State-by-state pricing architecture

·       Inventory value, rotation, aging, and cost impact

o  Analyze distributor chargebacks, incentives, and marketing program claims for accuracy and compliance with company policies.

o  Work closely with Regional Directors and National Accounts on:

·       Pricing decisions

·       Program ROI evaluation

·       Financial impact of new listings, resets, and authorizations

o  Support Finance monthly closing by validating:

·       Accruals (programs, incentives, logistics)

·       Distributor deductions

·       Inventory adjustments

·       Freight and warehousing costs allocation

o  Strengthen internal controls related to approvals, submissions, and price structures, following the precedent established in existing roles.

o  Provide financial modeling and scenario analysis to support annual budgeting and forecasting.

 

Operations Management

o  Oversee all day-to-day operations linked to importation, transport, warehouse coordination, and product flow.

o  Ensure accuracy and synchronization of orders, invoicing, inventory data, and logistics documentation.

o  Monitor operational KPIs and lead initiatives to optimize cost efficiency.

o  Liaise with 3PL partners, customs brokers, freight forwarders, and distributors.


Regulatory Compliance:

o  Manage all federal and state compliance processes: brand registrations, COLAs, renewals, tax filings, and state submissions.

o  Ensure proper and compliant price postings, chain submissions, incentives documentation, and legal accuracy.

o  Maintain structured, auditable compliance files and digital traceability for all programs.


Cross-functional Leadership & Future Growth

o  Support CEO/COO, Finance, Sales, and Marketing with decision-ready analytics and operational insights.

o  Lead improvements to company systems, reporting processes, and internal controls.

o  Serve as a bridge between Operations and Finance, providing visibility, discipline, and transparency.

o  Develop toward overseeing the Finance function, including team leadership, budgeting, reporting, and strategic financial planning.


QUALIFICATIONS & REQUIREMENTS:


Experience & Industry Knowledge

o  Bachelor’s degree in Finance, Accounting, Business, Economics, Supply Chain, or related field.

o  Minimum 3–5 years of experience in finance, commercial analysis, operations, or compliance.

o  Strong financial modeling and analytical skills (Excel mastery required).

o  Experience with ERP systems (mastery of Dynamics 365 Business Central required) and commercial reporting tools.

o  Understanding of US alcohol beverage regulations (TTB, state compliance) strongly preferred.

o  Experience in Wine & Spirits or CPG is an advantage.


Skills & Competencies

o  Highly analytical with strong business acumen.

o  Comfortable working with financial data, P&L drivers, accruals, and margin logic.

o  Strong organizational ability and exceptional attention to detail.

o  Capable of managing complex multi-state compliance environments.

o  Clear communication skills; able to present analysis to senior leadership.

o  Ambition to grow into a Finance & Operations Director role.

 

WORKING CONDITIONS & PHYSICAL REQUIREMENTS:

§ Based at the Miami headquarters.

§ Occasional travel; occasional weekend and holiday work.

§ Must be available during working hours and flexible during peak business periods.

§ The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.

§ Constantly operates a computer and other office productivity machinery employing repetitive arm and wrist motions, such as a computer and phone. Manual dexterity sufficient to reach and handle items.

§ Specific vision abilities require close and distance vision.

§ Must have a valid driver’s license.

§ Must be able to sit, stand or walk for a prolonged period.

§ Must be physically able to lift and carry cases of wine and promotional materials. Must be able to lift 50 lbs. Occasionally bend, stoop, reach, kneel, crouch, or climb.
