THE GIST:
Our client, a bicoastal & growth-focused finance firm, is seeking an Executive Assistant to support two high-level Partners. This role is ideal for someone who thrives in a fast-paced, high-growth environment and enjoys being a trusted right hand to senior leadership. The ideal candidate comes out of the financial services industry and has experience handling high-visibility meetings and investor-related interactions.

THE NITTY GRITTY:
- Provide comprehensive administrative support to two senior Partners, with a heavy focus on calendar management, scheduling, and meeting coordination
- Manage and prioritize multiple executive calendars, including complex scheduling across time zones and external stakeholders
- Handle inbox management and correspondence on behalf of executives as needed
- Coordinate domestic travel arrangements (flights, hotels, ground transportation)
- Prepare executives for meetings by organizing materials, presentations, and background documents
- Support Portfolio Company Board meetings and internal staff meetings, including:
- Attendee communications
- Venue coordination and logistics
- Audio/visual setup and management
- Catering and meeting materials preparation
- Track action items and follow up on projects, meetings, and outstanding issues
- Prepare and submit monthly expense reports
- Assist with planning and execution of events and off-sites, including a large annual conference (~75 attendees)
- Plan executive dinners and internal events
- Manage ad hoc administrative projects as needed
THE ESSENTIALS
- 5+ years of experience as an Executive Administrative Assistant or Senior Executive Assistant, supporting multiple senior-level executives
- Experience in investment management, private equity, venture capital, or financial services required
- Exceptional organizational, planning, and time management skills
- Ability to maintain a high degree of professionalism when interacting with Board members, investors, and C-level executives
- Proven ability to handle highly confidential and sensitive information with discretion and professionalism
- Ability to multitask, prioritize, and adapt quickly in a dynamic environment
- Strong written and verbal communication skills
- Collaborative team player who works effectively in a matrixed organization
- Proactive, positive, and personable with a confident, “can-do” attitude
- Comfortable working independently and taking initiative while knowing when to ask for support
- Advanced proficiency in MS Office; experience with Salesforce CRM and Zoom

COMPENSATION: $130,000/yr - $150,000/yr base salary + bonus + benefits (exact compensation will vary based on skills, experience, and expertise)
