THE GIST:
Our client, a global investment firm with an impressive portfolio, is seeking a Senior Administrative Assistant to support one of the firm’s Partners in NYC. This role will be responsible for keeping day-to-day operations running seamlessly and serve as a key member of the administrative support team. The ideal candidate will have superb communication skills, a polished & professional demeanor, and keen attention to detail.

THE NITTY GRITTY:
- Proactively manage a high-volume executive inbox, including email organization, drafting/ghostwriting, and follow-up.
- Support a dynamic and complex calendar, anticipating needs and helping keep priorities moving.
- Coordinate domestic and international travel across multiple time zones.
- Maintain accurate contact and relationship data across Outlook and Salesforce.
- Track prospect and client interactions, team action items, ideas, introductions, and other relationship-driven initiatives.
- Coordinate large-scale outreach efforts, including marketing sends, holiday gifts/cards, and other special campaigns.
- Develop and implement systems that improve the efficiency and effectiveness of administrative processes.
- Manage monthly expense reporting, including gathering receipts and processing reports through Concur.
- Support the broader administrative team in creating and implementing new systems and operational processes.
- Take ownership of ad hoc projects and administrative initiatives from start to finish.
- Collaborate closely with other Executive Assistants and colleagues across the firm.
- Maintain a high level of responsiveness outside of traditional business hours when needed.
THE ESSENTIALS:
- 3+ years of experience in executive or administrative support
- Background in private equity, investment banking, consulting, or other high-performance environments is strongly preferred.
- Exceptionally organized with strong attention to detail and follow-through.
- Excellent written and verbal communication skills.
- Demonstrated discretion, integrity, and sound judgment when handling confidential information.
- Proactive, self-directed, and comfortable anticipating needs rather than simply reacting to requests.
- Able to manage multiple priorities simultaneously in a high-pressure environment.
- Resourceful problem solver who enjoys creating better systems and processes.
- Team-oriented, positive, and willing to jump into whatever needs to get done.
- Comfortable with occasional after-hours responsiveness.

LOCATION: San Francisco, CA (4 days onsite/WFH Fridays)
COMPENSATION: Base salary: $100,000/yr - $115,000/yr + bonus + benefits (exact compensation will vary based on skills, experience, and expertise)
