THE GIST:

Our client, a boutique public relations & communications firm in Beverly Hills, is seeking an Executive Assistant to support their CEO & tight-knit team. You’ll work closely with the CEO day-to-day, interact with high-profile clients, and oversee the smooth operation of the office. This role is ideal for someone who thrives in a dynamic environment, can anticipate needs, and enjoys having variety in their work.

THE NITTY GRITTY:


Executive Support (80%)

  • Provide high-level administrative support to the CEO, including complex calendar management, scheduling across time zones, and meeting coordination
  • Handle travel arrangements, itineraries, and expense tracking
  • Handle incoming & outgoing communications
  • Work with bookkeeper to prepare client invoices and track payments
  • Support project teams with client research and contribute to brainstorming sessions
  • Prepare materials for meetings, presentations, and client engagements
  • Support other members of the team, as needed
  • Positively represent the CEO & firm in all interactions


Office Management (20%)

  • Oversee day-to-day operations of a small office, ensuring everything runs smoothly
  • Greet incoming clients and guests
  • Manage office supplies, organization, incoming mail, and basic office needs
  • Plan & prepare for team meetings, internal events, and client visits
  • Assist with other ad hoc projects & tasks, as needed



THE ESSENTIALS:

  • 2+ years of experience as an Executive Assistant or Administrative Assistant
  • Background in public relations, media/entertainment, hospitality, venture capital, or an early stage startup highly preferred
  • Bachelor's degree required
  • Exceptional organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Discretion, professionalism, and sound judgment when handling sensitive information
  • Tech-savvy and comfortable with standard office tools
  • Flexible, adaptable, and willing to jump in wherever needed
  • A self-starter who anticipates needs and takes ownership
  • Someone polished, personable, and comfortable interfacing with high-profile clients
  • A team player who enjoys being both strategic and hands-on

LOCATION: Beverly Hills, CA (Hybrid - 3 to 4 days in office)

 


COMPENSATION: $85k to 95k base salary + bonus + benefits (exact compensation will vary based on skills, experience, and expertise)
