Position Mission:

The Property Manager is responsible for the property management of their assigned property portfolio including overseeing all tenant relations, property operations, budgeting, CAM reconciliations, and CAPEX management. Additionally, the Property Manager is responsible for managing the building engineers working in their portfolio, vendors, and property maintenance efforts and the coordination and working with the property operations team to implement company policies, procedures, and best-practices as they relate to the on-going management of their assigned property portfolio. This position is an integral member of the Operations Team, working cross-functionally with accounting, engineering, and leasing to deliver seamless property management services. 



Responsibilities:

Property & Building Operations

  • Lead the day-to-day management of building operations of the assigned property portfolio.
  • Work with property operations team to ensure coordination with accounting, engineering, and leasing.
  • Regularly visit all properties; follow up on repairs and maintenance; conduct onsite evaluations with tenants.
  • Interface with building engineers, property vendors, and contractors to ensure prompt response to maintenance issues.
  • Navigate and support building engineers with issues; ensure thorough documentation and quality work.
  • Approve all relevant property-related bills.
  • Ensure budgeted maintenance and repairs are performed on schedule and compliant with municipalities.


Tenant Relations & Customer Service

  • Act as primary contact for tenants; provide excellent tenant service.
  • Anticipate tenant needs and resolve concerns quickly and completely.
  • Promote professional and collaborative relationships with tenants, vendors, and co-workers.
  • Oversee tenant move-in/move-out.
  • Conduct walk-throughs with tenants during construction and ensure punch list items are completed.


Financial Management & Reporting

  • Completion of monthly executive summary reports and variance analysis.
  • Partner with accounting to ensure timely collection of rents, operating expenses, and additional charges.
  • Reconcile CAMs for net leased properties within required timelines.
  • Provide OPEX budget inputs per company/owner schedule.
  • Identify and plan CAPEX projects with 1-, 3-, and 5-year plans; work with owners for approval.
  • Manage ownership expectations for CAPEX and TI construction.
  • Request/review/approve vendor bids; negotiate and execute maintenance contracts.
  • Communicate with ownership on budgets, project updates, variances, and risks.


Construction & Capital Projects

  • Partner with Construction Manager and General Contractor to ensure schedules are met and improvements align with tenant and building standards.
  • Attend construction meetings and walkthroughs.
  • Review and ensure final punch list completion.
  • Manage CAPEX and TI construction expectations in line with leases and budgets.


Risk Management & Compliance

  • Maintain established Certificate of Insurance program for tenants and vendors.
  • Identify, investigate, and resolve risks to person, property, or value.
  • Respond to and manage incidents per company/owner policy.


Leadership, Teamwork & Culture

  • Foster teamwork, collaboration, and solutions-oriented work environment.

  • Take proactive approach to identify new business, referral, or consulting opportunities.

Skills & Qualifications:

  • Strong computer skills (MS Excel, Word, PowerPoint, Outlook, Yardi).
  • Detail-oriented, analytical, organized, and able to prioritize workload.
  • Ability to meet deadlines and respond to emergencies (including outside normal hours).
  • Local travel required; must have valid driver’s license, vehicle, and insurance.
  • WA State Real Estate license (or ability to obtain within 3 months).
  • 3–5 years of property management experience (commercial preferred).
