Position Description


Position:                   Election Assistant

Supervised By:        Township Clerk/Deputy Clerk, Township Election Coordinator

Supervises:               No supervisory responsibility

FLSA Status:            Non-Exempt, Regular Full Time, 40 hours per week


Position Summary:

Under the supervision of the Township Clerk/Deputy Clerk and Township Election Coordinator, assists in performing the duties related to election preparation and recordkeeping, assists in the maintaining of voter records, and customer service.


Essential Job Functions and Responsibilities:

An employee in this position may be called upon to do any or all of the following essential functions. These examples do not include all of the duties, which the employee may be expected to perform. To perform this job successfully, an individual must be able to perform each essential function satisfactorily.


·      Provides customer service at the desk and by phone. Assures a high level of service in satisfying service requests or redirects to the appropriate staff.

·      Assists in the processing and distribution of incoming mail.

·      Assists the Election Coordinator in managing and coordinating all Township elections.

·      Assists the Election Coordinator in the distribution of absentee voter applications and with the mailing out of absentee ballots. Assists with updates to databases, QVF, and voting equipment preparation.

·      Answers questions from voters and precinct workers on Election Days. Assists with troubleshooting on Election and Early Voting Days.

·      Assists in the maintenance of election records, voter registrations, and voter records.

·      Assists Deputy Clerk in the process of responding to and preparing Freedom of Information requests.

·      Performs other duties as required.



Required Knowledge, Skills, Abilities and Position Qualifications:

Requirements include the following:

·      High school diploma required, with additional college-level or vocational training in secretarial science, office management or a similar field, and 2 years’ experience in a responsible clerical position desired.

·      Ability to draft correspondence, in a skillful and efficient manner, with proper grammar, punctuation and spelling.

·      Demonstrated proficiency in Microsoft Suite applications including word processing, spreadsheet, and data base use.

·      Ability to gain proficiency in department-specific software applications including QVF (Qualified Voter File).

·      Ability to use basic office equipment such as telephone, calculator, photocopier, and email/internet for search, information, and data transfer.

·      Ability to establish and maintain effective working relationships and use good judgment, initiative and resourcefulness when dealing with employees, professional contacts and the public in a variety of situations.

·      Previous Election Experience is desired but not required. There is on the job training for candidates without previous experience.

Supplemental Information

1. Hourly Rate: $21.00 to $26.50 per hour depending on qualifications.

2. Working Hours will be 40 hours a week with a 4-day work week from Monday – Thursday. Schedule could be subject to change during election cycles and additional hours may be required.

3.
