Import/Export Coordinator

The Role:



  • Update critical path with accurate ETAs.
  • Liaise with buying teams and sales teams to keep them informed of factors that will affect transit times.
  • Ensure all relevant import paperwork is in place and distribute this to forwarders for customs clearance (BL’s, COO’s, Form A’s, etc.).
  • Select best shipping method (FCL/LCL, consolidated at origin) based on container cost and efficient utilisation.
  • Arrange air and road freight for EU imports, as appropriate.
  • Create IPAFFS import notifications.
  • Build and maintain relationships with a panel of freight forwarders, couriers and hauliers.
  • Check and approve invoices for freight forwarding within agreed parameters and record values for costing purposes.
  • Record and track ocean freight quotes for forwarder performance analysis.
  • Support sales teams with export paperwork and logistics arrangements, ensuring compliance with export regulations and documentation standards.
  • Provide buying teams with commodity codes for new products.
  • Update relevant teams of changes to tariff codes and duty rates.
  • Source airfreight and courier quotes for buying teams upon request.
  • Liaise with the warehouse to arrange container deliveries.



About You:



  • Proven ability in an import/export role with previous experience of working with hauliers and freight forwarders.
  • Working knowledge of TSS (Trader Support Service) website and customs declaration processes.
  • Knowledge of various Incoterms and their use in imports and exports – specifically FOB, EXW, DAP and DDP.
  • Understanding of UK customs duty deferment procedures and HMRC compliance requirements.
  • Understanding of IPAFFS, phytosanitary certificates and plant passports.
  • Understanding of Brexit changes, Northern Ireland Protocol, and Windsor Framework.
  • Knowledge of Regime 42.
  • Knowledge of commodity codes and customs tariff classifications, including use of the ATR and BTI databases.
  • ·Experience managing regulatory compliance and working with customs authorities.
  •  Experience calculating landed costs and producing accurate true-costings.



Skills Required:



  • Excellent time management.
  • Strong organisational skills, with the ability to manage multiple tasks under pressure.
  • Good attention to detail and commitment to data accuracy and compliance.
  • High level of IT literacy, including use of Excel, ERP’s and familiarity with HMRC platforms.
  • Effective communicator with colleagues, suppliers and service providers.
  • Ability to follow existing processes effectively.
  • Exhibit a willingness to learn and develop.
  • A positive and professional attitude towards work.
