About the Role
A growing organization is seeking an experienced Accounting & Administration Specialist to join its on-site leadership support team. This high-impact role works closely with the General Manager and plays a key part in maintaining smooth financial operations and overall office efficiency.
The ideal candidate has a strong accounting background—particularly in AP/AR—paired with excellent organizational and administrative skills. This position is perfect for someone who thrives in a structured environment, enjoys a mix of accounting and office responsibilities, and wants to contribute to a team in a meaningful, long-term role.
What You’ll Do
Accounting Responsibilities
- Oversee Accounts Payable: invoice processing, PO matching, payment runs, vendor communication
- Oversee Accounts Receivable: invoicing, payment tracking, statement reconciliation, collections follow-up
- Support month-end close: journal entries, reconciliations, reporting
- Assist with budget preparation, expense tracking, and variance reporting
- Maintain accurate, organized financial documentation for audits and compliance
- Uphold internal financial controls and confidentiality standards
Administrative Responsibilities
- Provide administrative support to the General Manager: scheduling, reports, correspondence, documentation
- Coordinate daily office operations including supplies, vendors, and general organization
- Assist with onboarding and HR-related administrative tasks
- Support payroll preparation (timesheets, approvals, data entry)
- Prepare presentations, reports, and internal communication materials
- Contribute to special projects and process improvement initiatives
What We’re Looking For

5+ years of experience in accounting, administration, or a blended role
- Education or degree in Accounting, Finance, or Business Administration (preferred)
- Strong knowledge of AP/AR and general bookkeeping
- Proficiency with accounting software and MS Office (especially Excel)
- Excellent communication skills and professional demeanor
- Highly organized, detail-oriented, and reliable
- Ability to manage multiple responsibilities with integrity and discretion
- Comfortable working independently in a fast-paced environment
