Warranty Administrator – Truck & Bus Dealership (Mississauga, ON)
Monday–Friday, Day Shift | $70,000–$80,000/year + Benefits + RRSP
Our established Truck & Bus dealership in Mississauga is seeking an experienced Warranty Administrator to join our team. This is a full-time, day-shift role ideal for someone who is detail-oriented, organized, and able to manage high volumes of warranty documentation with accuracy and efficiency.
About the Role
The Warranty Administrator is responsible for overseeing all aspects of warranty claims—from documentation and submission to tracking, reconciliation, and follow-up. The ideal candidate has strong administrative skills, excellent communication, and thrives in a fast-paced dealership or service environment.
Key Responsibilities
Warranty Processing
- Process warranty claims promptly for multiple locations.
- Ensure all claims meet factory or distributor requirements.
- Verify documentation and criteria needed for claim approval.
- Resubmit rejected claims or obtain approval to write them off.
- Follow up on outstanding claims to ensure timely payment.
- Reconcile warranty receivables with payments using dealership accounting procedures.
- Post credits accurately into the system.
Warranty Parts & Records
- Track warranty parts by tagging with repair order numbers, replacement dates, and disposal dates.
- Arrange shipment of warranty parts to the manufacturer or distributor or coordinate scrapping.
- File and maintain accurate service records as required by the warrantor.
- Keep up to date on all factory recalls, service bulletins, and warranty updates.
Support & Administrative Duties
- Assist with shop and mobile warranty claims as needed.
- Support the service manager or controller with clerical tasks.
- Maintain a professional appearance and a clean, organized workspace.
- Perform other related duties as assigned.
Qualifications
- Previous experience in warranty administration (automotive, truck, bus, or heavy equipment preferred).
- Strong understanding of warranty claim procedures and dealership operations.
- High attention to detail and strong organizational skills.
- Proficient with computers and dealership software systems.
- Excellent communication and time-management abilities.
