Transportation Operations Administrator

Exeter, NH | Full-Time | Day Shift | $50,000–$65,000 + Benefits


Keep the paperwork, numbers, and day-to-day operation on track.


We’re looking for a Transportation Operations Administrator who can keep up with a busy transportation operation and stay on top of the details.


You’ll work directly with the Transportation Director, handling everything from billing and payments to permits, paperwork, customer calls, spreadsheets, and operational records. It’s a hands-on admin role where there’s always something moving and your follow-through matters.


If you’re organized, good with numbers, comfortable talking to customers, and the type who catches the little things before they become bigger problems, this could be a great fit.


What You’ll Handle

  • Process credit card payments, billing, POs and basic accounting tasks
  • Follow up on outstanding balances and help resolve billing issues
  • Prepare, submit and track transportation permits
  • Manage DocuSign paperwork, signatures and records
  • Keep permits, customer files and operational documents organized and up to date
  • Review transactions, spreadsheets and records for accuracy
  • Research discrepancies and get loose ends tied up
  • Perform call reviews and basic data entry in Towbook and TOPS
  • Maintain operational and financial tracking spreadsheets
  • Handle customer questions by phone and email
  • Work through billing questions, service issues and escalations
  • Keep digital and physical files organized and easy to find


What We’re Looking For


You don't need to be an accountant or a transportation expert. We need someone who is organized, sharp with numbers and doesn't let details slip through the cracks.


  • Detail-oriented with a good eye for errors and discrepancies
  • Comfortable working with payments, numbers and spreadsheets
  • Strong with Microsoft Office, especially Excel
  • Confident dealing with customers by phone and email
  • Professional but comfortable having a straightforward conversation when an issue needs to be resolved
  • Good at juggling multiple priorities and figuring out what needs attention first
  • Organized, dependable and good at following things through to the finish
  • Comfortable learning new software and systems
  • Able to handle sensitive customer and financial information appropriately


Experience with transportation, trucking, towing, logistics, billing or accounting support is a plus.


Experience

  • Associate’s degree in Business or a related field OR
  • 2+ years of relevant experience in administration, billing, accounting support, customer service or a similar role


Experience with DocuSign, Towbook or TOPS is helpful, but we’re willing to train the right person.
