Role Overview:
This is not a traditional administrative role. We’re looking for someone who can operate at the intersection of Executive Assistant and Operations Manager — a true right hand to the CEO. The ideal candidate is proactive, sharp, and highly adaptable, thriving in fast-moving, dynamic environments. Your role is to anticipate needs, keep the CEO organized, and ensure projects move forward seamlessly — often solving issues before they even reach his desk.
As a key partner to leadership, you’ll be directly involved in game production, strategic partnerships, and community launches, acting as an extension of the Executive Producer. You’ll play a central role in keeping both creative and operational initiatives on track, driving momentum across multiple teams and ensuring priorities are executed with excellence.
Responsibilities
- Manage and prioritize the CEO’s schedule, inbox, and key initiatives, ensuring nothing slips through the cracks
- Keep production, development, and marketing pipelines on track by flagging risks early and driving accountability
- Draft, review, and respond to emails; act as a professional liaison with contractors, partners, and external stakeholders
- Coordinate day-to-day communication and alignment across development, art, and marketing teams, ensuring deliverables are met on time
- Oversee light financial administration including processing payments, tracking invoices, and supporting smooth operations
- Research and identify opportunities (influencers, partnerships, industry trends, and tools) and deliver actionable recommendations
- Take ownership of tasks—driving them as far as possible before escalating to the CEO—and ensure full follow-through to completion
- Organize and coordinate meetings, travel arrangements, and logistics as needed
- Maintain effective systems for managing files, deliverables, and shifting daily priorities
Qualifications
- 3+ years’ experience as an Executive Assistant, Operations Manager, or similar role in a fast-paced environment
- Highly organized with meticulous attention to detail and strong follow-through
- Outstanding written and verbal communication skills
- Proactive, resourceful, and able to anticipate needs without waiting for direction
- Tech-savvy; proficient with Gmail, Google Workspace, and project tools; exposure to QuickBooks and Discord is a plus (or willingness to learn)
- Demonstrated ability to manage competing priorities and adapt quickly in a dynamic environment
- Passion for gaming, content creation, or media strongly preferred
- Must be based in Vancouver or the Lower Mainland
