The Purchasing Manager is responsible for the procurement of all supplies, equipment, parts, and other physical components necessary for the daily operation of the company's multifamily assets.
Key Responsibilities:
Procurement:
- Purchase supplies and parts for daily asset maintenance, ranging from small items like gaskets and light bulbs to larger purchases such as bulk air filters or maintenance equipment.
- Procure appliances for replacement units, typically during turnover maintenance between residents.
Communication:
- Maintain frequent communication with Asset Managers, Regional Asset Managers, and Asset Maintenance Staff to understand purchasing needs and priorities for each apartment community.
- Engage in regular phone and text communication due to the fast-paced, real-time nature of the role.
- Liaise with executive leadership to align with company goals and objectives for purchasing, budgets, and daily asset management.
- Interact with Corporate Accounting staff regarding company financials and budgeted goals as needed.
Vendor Management:
- Communicate directly with purchasing partners to ensure the company always obtains the lowest possible pricing for good value.
- Conduct research on pricing in different areas of the country to secure the best pricing in local markets.
- Work closely with national and local purchasing partners to meet company goals.
- Identify rebate opportunities from all purchasing partners.
Technology and Software:
- Navigate and compare various digital procurement websites.
- Utilize Yardi property management software to analyze pricing and place orders for specific assets.
Organization and Prioritization:
- Maintain obsessive organization to manage multiple purchasing needs across various properties.
- Understand company goals and daily business flow to prioritize purchases for each asset.
Travel:
- Periodic travel to company assets is expected, with heavy travel during the first two months of employment.
- Visit 28 multi-family assets located throughout Texas, Oklahoma, Arizona, Kansas, Nevada, and California to gain intimate understanding of apartment floor plans, current purchasing mix, appliance makes/models, preferred purchasing partners, and historical spends/trends.
Performance Management:
- Work in a fast-paced environment with a high sense of urgency.
- Manage own performance in line with stated job expectations, often without direct supervision.
Additional Responsibilities:
- Assist with purchases related to service calls when necessary, though primary responsibility for service calls lies with asset-level management.
Qualifications:
- Excellent time management and organizational skills
- Ability to work independently and manage multiple priorities
- Strong communication skills, both written and verbal
- Proficiency in Yardi property management software and digital procurement platforms
- Experience in multifamily real estate purchasing preferred
- Willingness to travel extensively, especially during the initial months of employment
Work Schedule:
- 40+ hours/week, with flexibility to ensure company purchasing happens with necessary urgency and scrutiny to support daily business flow and meet budgeted expense management goals.
This position plays a crucial role in supporting the company's multifamily assets by ensuring efficient and cost-effective procurement of necessary supplies and equipment while maintaining the balance between value and quality in asset-level purchasing.
