The Director of Property Management will oversee and optimize the management of our real estate portfolio, ensuring that properties are efficiently maintained, tenant satisfaction is prioritized, and financial performance meets or exceeds expectations. This role requires strategic leadership, excellent communication skills, and a deep understanding of property management practices in order to contribute to the overall success and value of the properties under their supervision.
Key Responsibilities:
1. Strategic Leadership: Develop and implement property management strategies that align with company goals and enhance operational efficiency. Assist with development of Property Management procedure manual including:
o Reporting
o Budgeting
o Vendor Management
o Lease Administration
2. Team Management: Lead, mentor, and develop a team of property managers and support staff, fostering a collaborative and high-performance culture.
3. Financial Oversight: Prepare and manage budgets for each property, monitor financial performance, and implement cost-control measures to maximize profitability. Work closely with accounting team to ensure smooth billing and invoice processing. Will also review and approve all CAM reconciliations prior to being distributed to Tenants
4. Tenant Relations: Cultivate positive relationships with tenants, addressing concerns and ensuring a high level of tenant satisfaction and retention.
5. Property Maintenance: Oversee property maintenance operations, ensuring timely repairs and upkeep, while implementing preventative maintenance programs. DPM will have direct property management duties of a specific portfolio of retail properties.
6. Market Analysis: Conduct regular market analysis to identify trends and opportunities, adjusting strategies to maintain competitiveness in the market.
7. Reporting: Provide regular reports to senior management regarding property performance, financial status, and tenant relations.
8. Vendor Management: Establish and maintain relationships with contractors and vendors to ensure high-quality services at competitive prices.
9. Crisis Management: Develop and implement emergency response plans, ensuring the safety and security of tenants and properties.
10. Coordination with Development Team: During ground-up developments by sitting in on some initial design meetings to discuss long-term, low-maintenance options and Tenant benefits. Also attend site construction and punch list meeting to help ensure a PM department familiarity with the project and smooth transition from Development to PM Departments.
Preferred Skills:
Minimum of 8 years of experience in property management, with at least 5 years in a leadership role.
Microsoft Office, Outlook, Adobe Pro DC, and Yardi
Ability to manage, mentor, interpret, develop and communicate with Property Managers and Tenants.
Ability to establish and maintain effective working relationships and strong customer service skills throughout multiple internal departments.
Bachelor’s degree in Business Administration, Real Estate Management, or related field (preferred).
Proven ability to manage budgets and financial reports.
In-depth understanding of property laws, regulations, and compliance requirements.
Strong problem-solving skills and ability to handle challenging situations with professionalism.
