An established and growing organization in Charlottetown is seeking a highly organized and proactive Office Administrator to support day-to-day business operations. This role plays an important part in ensuring the office runs smoothly while providing administrative, operational, and customer service support across multiple departments.

Key Responsibilities


Responsibilities include, but are not limited to:

  • Greet visitors and manage front-desk check-in procedures in accordance with company policies
  • Answer and direct incoming phone calls while taking and relaying messages as required
  • Monitor and respond to shared company email inboxes, ensuring timely and professional communication
  • Provide administrative support to senior leadership, including meeting coordination, event support, and office supply management
  • Maintain and update operational tools such as office supply inventory, internal directories, and staff engagement initiatives
  • Process sales and purchase orders within the organization’s ERP system
  • Enter sales orders, perform three-way matching (invoice, purchase order, packing slip), and issue invoices as required
  • Assist the accounting team and senior leadership with special projects and administrative requests beyond daily responsibilities


Qualifications:

  • Post-secondary education in Business Administration or a related field, or equivalent work experience
  • Minimum of 2 years of office administration or operational support experience preferred
  • Intermediate proficiency in Microsoft Office, particularly Word, Outlook, and Excel
  • Strong organizational skills and exceptional attention to detail
  • Excellent written and verbal communication skills with the ability to interact professionally with internal teams and external contacts
  • Self-motivated with a positive, solutions-oriented mindset
  • Ability to work independently, prioritize tasks effectively, and meet deadlines in a dynamic environment
  • Valid driver’s license and access to a vehicle for occasional work-related travel
  • Ability to provide a clear criminal records check relevant to the responsibilities of the role
  • Applicants must be 19 years of age or older


Position Details


Reports To: Accounting Manager

Employment Type: Full-time, permanent (on-site)

Schedule: Monday to Friday, typically 8:00 AM – 4:30 PM, with flexibility based on operational needs

Salary: Competitive basd on experience.
