Our client is seeking a highly organized, proactive, and service-oriented Facilities & Property Coordinator to join their property management team in Charlottetown, PE


This is a varied, hands-on coordination role supporting the day-to-day operations, maintenance, safety, and administration of a diverse portfolio of approximately 60 + properties. The successful candidate will serve as an important point of contact for tenants, contractors, vendors, technicians, and service providers, ensuring maintenance issues and property-related requests are handled efficiently from start to finish.


Key Responsibilities


  • Coordinate day-to-day facilities and building operations across a diverse property portfolio.
  • Receive, prioritize, coordinate, and track maintenance and repair requests.
  • Communicate with tenants regarding maintenance concerns, questions, complaints, and property-related matters.
  • Respond to building emergencies and coordinate the appropriate repairs and follow-up.
  • Schedule and coordinate contractors, vendors, technicians, and service providers.
  • Conduct regular property inspections and identify maintenance, operational, and safety concerns.
  • Coordinate preventative maintenance, inspections, repairs, and required servicing.
  • Monitor work orders and follow up to ensure work is completed properly, on schedule, and to expected standards.
  • Maintain accurate records relating to maintenance, inspections, warranties, contracts, service agreements, and property documentation.
  • Assist with invoices, purchase orders, budgets, and expense tracking.
  • Monitor building access, keys, security systems, and workplace equipment.
  • Support workplace health and safety initiatives and ensure appropriate practices are followed.
  • Develop and maintain positive working relationships with tenants, contractors, vendors, and service providers.
  • Provide general administrative and operational support to the property management team as required.


Qualifications & Experience


The successful candidate will ideally bring:


  • Experience in facilities management, property management, building operations, maintenance coordination, administration, or a related field.
  • Strong organizational skills and the ability to manage multiple priorities simultaneously.
  • Experience coordinating contractors, vendors, technicians, and service providers.
  • A practical understanding of building maintenance and preventative maintenance requirements.
  • Knowledge of health and safety practices and requirements.
  • Familiarity with construction practices and building-related projects.
  • Strong problem-solving and decision-making skills.
  • Excellent attention to detail and follow-through.
  • Strong communication and customer-service skills.
  • Basic knowledge of building systems and maintenance requirements.
  • Proficiency with Microsoft Office and familiarity with facilities or work-order management software.
