Next Level Group is partnering with a well-established professional services organization to recruit an Administrative Assistant. This role is ideal for a highly organized and detail-oriented individual who enjoys supporting a team of professionals in a fast-paced, client-focused environment.
The successful candidate will work closely with senior leadership and administrative staff, playing a key role in coordinating processes, monitoring engagements, and maintaining strong working relationships with both clients and internal teams.
Key Responsibilities:
- Scan, organize, and save documents accurately and efficiently
- Provide administrative support to senior administrative staff as required
- Manage intake and processing of client information
- Assemble and prepare finalized client packages
- Answer and direct incoming phone calls professionally
- Monitor emails, incoming mail, and schedule meetings
- Prepare correspondence, memos, and invoices
- Perform general administrative duties as needed
Qualifications & Skills:
- General understanding of professional services environments (accounting or similar is an asset)
- Ability to work independently while also contributing effectively within a team
- Strong organizational skills with the ability to manage multiple priorities and follow direction
- High level of accuracy and attention to detail
- Excellent verbal and written communication skills
- Strong time management and prioritization abilities
- Proficiency with Microsoft Office programs, including Word and Excel
- Familiarity with accounting software such as CaseWare and iFirm is considered an asset
- Strong critical thinking, problem-solving, and decision-making skills
Additional Requirements:
- Flexibility to work additional hours during peak client and industry deadlines
- Ability to travel locally as required
