Office Coordinator
The Office Coordinator is responsible for performing administrative support functions while answering and fielding telephone calls, greeting and directing all guests, vendors, and service/delivery personnel to appropriate areas.
Schedule: Monday - Friday 8:30am - 5:00pm
Key Responsibilities:
- Performs receptionist and administrative support duties for the Program Support Center (PSC).
- Greets and directs all visitors, guests, vendors, and service/delivery personnel to appropriate areas or person.
- Answers, screens and fields incoming calls and faxes; routes to appropriate parties.
- Opens, sorts, and distributes incoming mail.
- Applies appropriate postage to outgoing mail daily, including preparation of UPS and inter-office mailings.
- Tracks and logs account receivables and donations on spreadsheets for PSC.
- Orders, receives, organizes, and maintains inventory for PSC office equipment and supplies.
- Maintains inventory and submits requests for stationary/letterhead orders.
- Manages off-site storage pick up and retrieval process.
- Monitors, troubleshoots, and provides general maintenance of all office equipment; Contacts service vendors as needed
- Assists with special projects, as needed.
- Maintains files for company vehicles, submits paperwork for new tags annually. 13. Personifies outstanding customer service to co-workers, clients and vendors by acting as a subject matter resource in a timely, considerate and friendly manner, always maintaining the “Golden Rule” approach; practices patience and kindness.
Required Education: High school diploma or general education degree (GED)
Preferred Education: Associate’s degree from a 2-year college or technical school
Required Experience: 2 years’ receptionist or office manager experience, Advanced knowledge of various software programs such as Microsoft Office including, Word, PowerPoint, Outlook and Excel
Preferred Experience: Nonprofit; senior living or long-term care sector
