Vale Group, a nationwide specialized recruitment firm, has partnered with a company based in Los Angeles, CA, who is actively searching for an experienced Corporate Legal Assistant to work onsite for an opportunity paying up to 76K per year, based on experience. This in-house position works closely with the company’s top attorney and law department, handling everything from calendaring and document preparation to auditing bills from external counsel. A background supporting attorneys, solid familiarity with legal vocabulary and procedures, and a talent for keeping sensitive matters organized and confidential are key to success here.
Requirements of the Corporate Legal Assistant:
● Solid familiarity with legal vocabulary, as well as litigation and transactional procedures
● Ability to draft routine letters, memos, and concise summaries for leadership
● Proven ability to streamline workflows and introduce more efficient ways of working
● Sharp analytical mindset paired with clear written and verbal communication
● 2+ years of secretarial or administrative experience supporting attorneys within a law practice or an in-house corporate law department, with 3 years preferred
● Four-year college degree required
● Paralegal certificate or comparable credential is a plus, though not required
● Exceptional discretion when handling privileged, confidential, and time-sensitive materials
● Prior experience checking attorney fee statements against agreed rates and terms is strongly preferred
● Exceptionally organized, with meticulous attention to detail and dependable follow-through on deadlines
● Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint); exposure to legal e-billing, matter management, or document management platforms is a plus
Responsibilities of the Corporate Legal Assistant:
● Serve as the go-to administrative partner for the chief legal officer and law department staff, managing daily correspondence, agendas, and post-meeting follow-ups
● Edit, format, and polish letters, contracts, slide decks, and reports so every deliverable is accurate and professional
● Coordinate attorney calendars, booking court dates, depositions, and internal meetings
● Audit bills from external firms and vendors against engagement terms and billing policies, then summarize findings for attorney sign-off
● Shepherd invoices through approval and payment, preparing payment requests and resolving discrepancies or status questions with firms
● Monitor active matters, agreements, and open tasks, nudging owners to keep deadlines on track and flagging urgent or unusual issues to the right stakeholders
● Compile periodic status reports for leadership
● Keep digital and hard-copy records organized, handling file naming, scanning, indexing, and retrieval in line with company record-keeping and data-security policies
● Act as liaison with HR, IT, finance, procurement, and outside vendors on administrative needs, and coordinate travel arrangements for the team
