We are searching for a Payroll Coordinator to join our growing business!


Basic Function:

As part of the HR Team, the Payroll Coordinator reports directly to the Payroll Manager and plays a key role in supporting accurate, timely payroll processing in accordance with federal, state, and company policies. This position supports multi-entity, multi-state payroll operations, helps maintain payroll compliance, and safeguards employee confidentiality while supporting over 1,100 employees.


Responsibilities:

  • Assists with training and support for managers/timekeepers on timecard processes and payroll deadlines.
  • Participates in process improvement efforts and documentation updates related to payroll workflows and controls.
  • Supports payroll-related audits by gathering documentation and responding to routine information requests.
  • Assists with off-cycle payrolls and special pay runs (e.g., bonuses) as assigned and under direction.


Essential Functions:

  • Maintains payroll documentation, checklists, and records to support internal controls and audit readiness.
  • Provides first-line support to employees regarding payroll timelines and routine questions; delivers accurate, professional customer service while maintaining confidentiality.
  • Generates standard payroll reports (e.g., exception, variance, and audit reports) and assists with basic reconciliations; escalates complex issues (e.g., retro pay, garnishments, tax questions) to the Payroll Manager as needed.
  • Enters approved time and pay adjustments (e.g., timecard corrections, PTO entries, approved pay codes) and ensures accurate coding consistent with company policy.
  • Processes routine payroll-related employee updates and verifies that changes align with established procedures and approvals.
  • Monitors timecard completeness and exception reports; follows up with managers/timekeepers to resolve missing punches, approvals, and discrepancies prior to payroll deadlines.
  • Supports payroll processing for multi-entity, multi-state employee populations by preparing and validating payroll inputs in ADP Workforce Now.


Requirements:

  • Strong communication and customer service skills; ability to collaborate effectively with managers and teammates across locations.
  • Demonstrated ability to handle confidential information with discretion and professionalism.
  • Strong attention to detail, ability to meet deadlines, and ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Excel (filters, sorting, and basic formulas) and comfort working with reports and data audits.
  • Hands-on experience with ADP Workforce Now required (time & attendance/timecard review and payroll-related employee data maintenance).
  • 1+ year of payroll experience required.
  • Associate’s Degree required.


Preferred Qualifications:

  • Hands-on experience with ADP Workforce Now required (time & attendance/timecard review and payroll-related employee data maintenance).
  • Knowledge of wage and hour concepts and payroll best practices.
  • Experience supporting multi-state payroll or multiple company codes/entities.
