About the Role

We are seeking a highly organized, proactive, and experienced Executive Assistant to provide dedicated support to the President and/or VP or HR of a global organization within

This role is ideal for an Executive Assistant who thrives in a fast-paced, high-accountability environment, demonstrates strong judgment, and consistently anticipates needs before they arise. The ideal candidate combines practical common sense with strategic thinking, allowing them to proactively manage priorities, eliminate friction, and ensure the President’s time is optimized. This is a highly visible position requiring exceptional communication skills, strong executive presence, excellent attention to detail, and the ability to manage sensitive and confidential information with the highest level of discretion. The Executive Assistant will act as a trusted partner to the President while collaborating closely with executive leadership, internal teams, external stakeholders, and other Executive Assistants across the organization.

 

In this role, you will have the opportunity to:

 

• Manage highly complex executive calendars for senior leaders, proactively balancing competing priorities, resolving scheduling conflicts, and ensuring meetings are strategically aligned across multiple time zones

• Coordinate complex domestic and international travel arrangements, including flights, hotels, ground transportation, itineraries, travel documentation, and last-minute travel changes

• Anticipate executive needs and take action independently, exercising strong critical thinking and sound judgment to proactively solve problems before they arise

• Support executives who travel frequently, ensuring seamless travel coordination, schedule adjustments, and expense management before, during, and after travel

• Track, reconcile, and manage executive expenses, receipts, reimbursements, and expense reports using systems such as Coupa, Concur, Mobile Expense, or similar platforms

• Prepare presentations, reports, meeting materials, executive communications, and confidential documents while ensuring exceptional accuracy and attention to detail

• Organize and support executive meetings, including agendas, logistics, meeting materials, action items, and follow-up activities

• Serve as a key liaison between executive leadership and internal/external stakeholders, ensuring clear communication, responsiveness, and alignment across teams

• Coordinate meetings across domestic and international teams, demonstrating a strong understanding of global time zones and executive scheduling best practices

• Partner closely with Executive Assistants across Leica Biosystems and other Danaher operating companies to coordinate executive schedules, travel, communications, leadership meetings, and cross-functional initiatives

• Provide proactive support during executive travel, including occasional flexibility outside standard business hours when urgent travel changes or scheduling adjustments are required

• Manage sensitive and highly confidential information with discretion, professionalism, and sound judgment

• Support executive-level events, leadership meetings, site visits, and special projects, ensuring all logistics and operational details are executed successfully

• Monitor deadlines, commitments, and follow-up activities, ensuring key priorities are completed accurately and on time

• Operate as a trusted business partner to executive leadership, demonstrating a team-first attitude, humility, ownership, accountability, and exceptional follow-through

Required Qualifications

  • 3–10 years of Executive Assistant experience supporting a President, VP, C-suite executive, or senior leadership team within a large global organization
  • Demonstrated humility, teamwork, and low-ego approach; must view themselves as a support partner and extension of the executive, not as the decision-maker
  • Must have experience working in a highly fast-paced environment where priorities, schedules, and travel plans change frequently
  • Exceptional calendar management experience with a high degree of accuracy and attention to detail
  • Experience supporting executives who travel extensively both domestically and internationally
  • Ability to proactively identify scheduling conflicts, anticipate issues, and make logical adjustments without being directed
  • Strong critical thinking, common sense, and decision-making skills – must be very comfortable making logical decision without constant direction
  • Example: recognizing meeting conflicts, adjusting schedules proactively, accounting for time zones, and preventing executive scheduling issues before they occur
  • Must be highly action-oriented and comfortable taking ownership rather than waiting for instructions
  • If travel needs to be booked or schedules need to be adjusted, this person takes initiative and gets it done
  • Ability to make decisions independently after onboarding with minimal supervision 
  • Must be a proven problem solver who can anticipate needs and resolve issues before they become problems
  • Must be comfortable with traveling- Role requires occasional travel: 1–2 domestic trips per year, 1–2 international trips per year
  • Experience coordinating complex domestic and international travel arrangements, including flights, hotels, transportation, itineraries, and last-minute changes
  • Strong understanding of global time zones and experience coordinating meetings across multiple regions and countries
  • Must be flexible and available to provide occasional support after hours or on weekends during executive travel if urgent travel changes or schedule adjustments are needed
  • Experience using expense management systems such as Concur, Coupa, Mobile Expense, or similar tools
  • Experience managing expense receipts, reimbursements, and travel-related expenses for executives
  • Must have experience working remotely and maintaining a professional home office environment
  • Ability to work Mountain Standard Time (MST) hours as business needs require
  • Experience supporting executives within a global organization with international teams and stakeholders
  • Demonstrated ability to handle highly confidential information with discretion and professionalism
  • Advanced proficiency with Microsoft Outlook, Teams, Word, Excel, and PowerPoint
  • Ability to manage multiple priorities simultaneously while maintaining exceptional accuracy

  • Located in or near the Chicago / Deer Park, IL area (ZIP 60010) due to proximity to the company's primary office
  • Experience supporting a President, CEO, or VP Human Resources
