Job Description
The Executive Assistant will be responsible for handling calendar, travel, expense reporting, and additional administrative support needs. The Executive Assistant will be responsible for key processes, supporting the needs of the business. You should be detail-oriented, organized, punctual, and comfortable working in highly fast-paced environments. Being active and able to make decisions with minimal guidance or communication is crucial to this role’s success. We’re looking for an individual who sees problems as puzzles to solve and is resourceful in their ingredients to the solution. The Executive Assistant will support our VP of Enterprise Sales in the APAC region. This role is based remotely within Australia and reports directly to the Vice President, Enterprise Sales - APAC.
Responsibilities:
- Arrange complex and detailed travel plans, for both international and domestic, as well as itineraries and agendas
- Provide administrative support to Vice President, including calendar, and expense management in a timely manner
- Anticipate the needs of a busy executive and help them be more productive and successful
- Proactively resolve time-sensitive issues, demonstrating excellent judgment and problem-solving skills
- Manage logistical and operational needs to enable activity across Enterprise Sales in APAC as well as work with other Revenue business units
- Schedule cross-functional meetings to drive team collaboration – both internally and externally
- Partner with other members of the Enterprise Sales org to execute on logistics and overall coordination for offsite meetings, both virtual and in-person
- Help manage meeting agendas, notes and minutes, presentations and follow-up items
- Handle confidential information professionally
Required Qualifications:
- 2+ years’ experience administrative, Executive Assistant, Office Manager or similar executive support globally.
- Experience supporting a CEO/Executive/VP or similar Sr level personnel globally (US, UK, India, APAC, or similar)
- Must have experience supporting across different time zones and not just Australia
- Must have experience with booking travel globally/ internationally
- Experience in an environment with an emphasis on scheduling meetings, travel and events
- Must have excellent experience with scheduling across multiple time zones
- Experience with Google Calendar, Google Docs, Google sheets.
- Experience with Slack or similar chats
- Experience scheduling through Zoom and Microsoft Teams
- Must have excellent experience and understanding with being responsive to VP.
- Requires experience being able to prioritize for the VP based on their priority
- Experience or ability to learn how to manage Sr level executive budget; making sure they don’t go over budget.
- Able to work independently in a remote role and can make decisions quickly on priority.
- Must have worked in a role that requires detail oriented, organization and punctual/good time management
- Ability to make decisions and be flexible in a fast-paced, rapidly changing environment, defining and determining an appropriate resolution, recommendation, or decision.
