Facilities Admin Associate – CMMS & Maintenance Support

Location: Hercules, CA ( local candidates)

Onsite, M-F, 8:00 AM – 4:30 PM

Contract: 3 months ( Great potential for extension)

Pay Rate: $27–$31/hour

Requirements: SAP or equivalent experience for PRs and invoice management

About the Role

The Admin Associate supports maintenance systems, ensuring the CMMS is accurate, efficient, and fully utilized. You’ll manage data, track capital expenditures, train users, and help improve processes that drive operational excellence.

 

 

Key Responsibilities

  • Maintain and update the CMMS system, including work orders, asset activations, and reports.
  • Monitor budgets, purchase orders, vendor deliveries, and invoices.
  • Conduct audits, analyze data, and suggest CMMS process improvements.
  • Train end-users and provide ongoing support for CMMS adoption.
  • Support 5S program and assist in capital equipment onboarding and decommissioning.
  • Share weekly and monthly metrics with management to inform strategic decisions.

 

What You Bring

  • Associate degree in Business Admin, Facilities Management, IT, or related field.
  • 2+ years of experience in administrative support, facilities coordination, or CMMS/maintenance operations
  • Experience with CMMS or similar systems
  • Experience for PRs and invoice management
  • SAP or similar CRM required.
  • Understanding of cGMP standards for manufacturing quality.
  • Strong data management, reporting, and analytical skills.
  • Excellent communication, problem-solving, and training capabilities.
  • Experience with budgeting and capital/repair expense tracking.
