Senior Leave & Accommodations Administrator
Location: Hybrid- Los Angeles, CA
Payrate: $47-57/hr DOE
Type: W2 Contract to Hire
We’re looking for a highly skilled Senior Leave & Accommodations Administrator to lead and elevate our organization’s leave of absence programs and workplace accommodation processes. This is a key role where you’ll blend compliance expertise with compassion—supporting employees through life events while guiding leaders and partners to ensure seamless operations.
From LOA, STD/LTD, Workers’ Compensation, ADA accommodations, COBRA, and Direct Billing, you’ll be the trusted subject matter expert who ensures every process is handled with precision, empathy, and care.
What You’ll Do
Own Leave & Accommodation Programs
- Deliver white glove service in partnership with our 3rd party administrator across FMLA, CFRA, PDL, STD, LTD, military leave, unpaid/personal leave, and Workers’ Compensation.
- Guide employees and managers through the full leave lifecycle as a trusted subject matter expert.
- Coordinate with payroll, HR, and benefits teams to ensure invoices, payments, and benefit continuation run flawlessly.
- Calculate salaries alongside leave benefits (STD/LTD/State) to maintain accuracy and transparency.
- Lead the ADA interactive process—review documentation, determine accommodations, and collaborate with HRBPs and legal to resolve requests quickly and fairly.
- Manage return-to-work cases, modified duty, and transitional programs.
Champion Compliance & Benefits
- Oversee COBRA processes and direct billing during leave or benefit transitions.
- Ensure compliance with FMLA, ADA, HIPAA, ERISA, COBRA, and state-specific regulations.
- Accurately manage benefit premiums and salary continuation.
Drive Documentation & Reporting
- Keep impeccable, confidential records.
- Build reporting tools to track trends, compliance metrics, and accommodation outcomes.
- Conduct audits and prepare documentation for compliance or legal review.
Be the Go-To Expert & Partner
- Act as the primary contact for employees, managers, HR partners, and vendors.
- Train HR and leadership teams on leave laws, accommodation processes, and best practices.
- Resolve escalations with discretion, empathy, and professionalism.
Lead Process Improvements
- Spot inefficiencies and recommend better workflows and systems.
- Collaborate with HRIS and vendors to optimize leave tracking and communication tools.
What You Bring
- Bachelor’s degree in HR, Business Administration, or related field.
- 5+ years managing complex leave and accommodations programs.
- In-depth knowledge of FMLA, ADA, CFRA, STD, LTD, Workers’ Comp, COBRA, HIPAA.
- Experience working with third-party administrators and insurance carriers.
- Proficiency in HRIS platforms (Workday, UKG, ADP, Dayforce, etc.).
- Strong communication, organization, and case management skills.
- Ability to manage sensitive employee situations with professionalism.
- HR certification (PHR, SPHR, SHRM-CP, or SHRM-SCP) preferred.
Preferred Skills
- Multi-state leave administration experience.
- Strong analytical and reporting skills.
- Experience managing high-volume caseloads without compromising accuracy.
- Background in large or matrixed organizations.
