Office Coordinator – $25/hr | Part-Time (On-Site in Irvine, CA)
Schedule: Monday–Thursday, 9:00 AM – 3:00 PM

We are seeking a dependable and detail-oriented Office Coordinator to support our Irvine office on a part-time basis. This role is essential to maintaining a welcoming, organized, and productive work environment. As the first point of contact for visitors and a key support resource for staff, the Office Coordinator ensures smooth daily operations while contributing to a positive workplace culture.

Key Responsibilities:
Office Management & Operations
- Maintain inventory of office supplies and place orders as needed
- Oversee functionality of office equipment and facilities
- Coordinate with building management, vendors, and service providers
- Keep common areas (kitchen, meeting rooms, reception) tidy and well-stocked
Administrative Support
- Manage calendars, schedules, and meeting coordination
- Assist with travel booking (flights, lodging, itineraries)
- Provide support for day-to-day tasks and special projects
Reception & Front Desk
- Greet and assist guests, ensuring a professional and welcoming first impression
- Answer and route calls; handle general inquiries
- Manage incoming and outgoing mail, deliveries, and shipments
Event & Culture Coordination
- Organize office events, celebrations, and team-building activities
- Arrange logistics for meetings, including catering and room setup
- Support initiatives that strengthen a positive, engaging office culture
Recordkeeping & Documentation
- Maintain accurate records, invoices, receipts, and logs
- Process mail by scanning and routing to appropriate departments
- Assist with expense reporting and document filing
Team & Leadership Support
- Provide assistance across departments and to leadership
- Proactively recommend ways to improve processes and efficiency
Qualifications:
Required:
- 2+ years of experience in office coordination, administration, or similar role
- Strong organizational and time-management skills
- Excellent written and verbal communication abilities
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to learn and use office management platforms/tools
- Friendly, approachable, and proactive attitude
- Ability to handle confidential information with professionalism
Work Environment & Expectations
This role is fully on-site in Irvine, CA. The part-time schedule (Mon–Thu, 9:00 AM–3:00 PM) ensures a strong balance of meaningful contribution and work-life flexibility. As the cornerstone of office operations, you’ll play a pivotal role in shaping the daily experience of both staff and visitors.
