Job Title: Executive Assistant / Office Manager
Location: Reston, Virginia 20191 (On-site with occasional travel to DC for events/meetings)
Pay: $35–$40/hour, depending on experience
Contract: 6–12-month temp-to-perm (based on performance)
Full time: M-F 8;30am-5:30pm

What You'll Do
This dual-role position requires a high-energy, proactive individual to provide executive support and manage office operations.
Executive Assistant Responsibilities:
- Support 3–5 local executives in Reston, and occasionally visiting executives from Carlsbad.
- Manage complex calendars, schedule meetings, and coordinate across multiple time zones.
- Coordinate domestic and international travel, including visa applications and travel logistics.
- Prepare documents, presentations, and reports; assist with executive communications.
- Process expense reports and assist team with web-based systems such as Concur or similar.
- Serve as a point of contact and “gateway” for executives, escalating or resolving issues efficiently.
Office Manager Responsibilities:
- Manage facilities coordination, office supplies, and kitchen inventory.
- Plan and execute team and company events, including catering and holiday celebrations.
- Provide minimal IT troubleshooting for meetings, conference rooms, and equipment.
- Support staff across the office with logistics, onboarding, and ad hoc requests.
- Assist with distribution lists, meeting setups, and web-based communications (Teams, Zoom, Slack, etc.).
What You'll Need
- 5-10 years in an executive administrative or office management role.
- Experience to support 3–5 local executives in Reston, and occasionally visiting executives from Carlsbad; able to on occasion support up to 10 executives.
- Experience to manage complex calendars, schedule meetings, and coordinate across multiple time zones.
- Experience to coordinate domestic and international travel, and travel logistics.
- Able to provide minimal IT troubleshooting for meetings, conference rooms, and equipment.
- Experience to serve e as a point of contact and “gateway” for executives, escalating or resolving issues efficiently.
- Experience to support office manager duties; catering orders, inventory, work with facilities for minor repairs etc.
- Experience to support execute team and company events, including catering and holiday celebrations.
- Proficiency with Microsoft Office Suite, Adobe Acrobat, SharePoint, and web-based conferencing tools.
- Experience using MS Teams and slack.
- Comfortable being available on occasion during PST time zone for meetings and calls.
- Flexibility to support executives across time zones (Carlsbad, CA) when needed.
- Familiarity with expense and travel management systems such as Concur, Costpoint, or similar.
- Ability to prioritize and organize multiple tasks in a fast-paced environment.
- Bonus: previous experience support military personnel.
- Proficiency with Microsoft Office Suite, Adobe Acrobat, SharePoint, and web-based conferencing tools.
- Familiarity with expense and travel management systems such as Concur, CostPoint, or similar.
- Ability to lift 30 pounds.
- U.S. citizen required due to federal contracting regulations.
