Vendor Database Specialist
Location: Hybrid – *Must reside in Chicago, IL
Pay: 28–$30/hour
Contract Length: 6–8 months
Schedule: Full-time, 8:30 AM – 5:30 PM. Required to work CST/MST;
**Hybrid in-office 2–3 days per week in the above location

Role Overview
The Vendor Database Specialist will support vendor onboarding, supplier screening, and compliance processes within Coupa and other platforms. This role is highly detail-oriented, requiring strong communication skills and the ability to manage sensitive information with discretion.
Key Responsibilities
Coupa Support
- Review and clarify vendor onboarding and screening requests submitted by employees.
- Approve or reject requests based on screening results.
- Provide assistance to employees and vendors with onboarding questions or issues.
Supplier Screening Support
- Validate W-9s and confirm COI (Certificate of Insurance) compliance.
- Conduct OFAC searches and submit vendor screening requests in Veritas.
- Assist vendors with questions regarding Veritas, Achilles enrollment, and waiver requests.
- Maintain logs of manual screens, request updated COIs or W-9s, and review exceptions quarterly.
- Notify property/account teams of screening outcomes and track remediation for failed screens.
Other Duties
- Monitor the supplier screening team’s shared mailbox, resolving or escalating requests as needed.
- Track and report on complex support requests or projects.
- Participate in bi-weekly Supplier Screening “Office Hours” to provide live support.
Qualifications & Experience
- 2–10 years of experience in Vendor Database Management, supplier screening, or insurance compliance (COI validation).
- Prior experience supporting customer/vendor issue resolution.
- Familiarity with Coupa’s module (or similar platforms).
- Must have worked a role that required strong attention to detail and organizational skills.
- Must have excellent written communication; specifically email and chats etiquette.
- Experience handling highly confidential and sensitive information. Professional discretion when handling sensitive data.
- Experience to analyze written data and communicate it to others – experience to look at information and check for accuracy
- Strong organizational and multitasking skills with attention to deadlines.
- Proficiency in Microsoft Outlook; Smartsheet familiarity a plus.
- Flexibility to support CST/MST business hours (adjustments may be required for West Coast candidates).
- Bonus: Experience with GRMS/Veritas
