About the Company

Our client is a dedicated research lab focused on building, understanding, using, and risk-managing foundation models. Its mission is to advance research, nurture the next generation of AI builders, and drive transformative contributions to a knowledge-driven economy.

The team works at the forefront of foundation model training alongside world-class researchers, data scientists, and engineers to tackle fundamental challenges in AI development.

About the Role

The Institute of Foundation Models is seeking a hands-on Recruiting Partner & Talent Operations professional to support recruiting operations and hiring initiatives as the organization continues to grow.

This role will partner with another recruiter to share the recruiting workload, primarily supporting General & Administrative (G&A) hiring across Marketing, Operations, Coordinator, and similar functions. Approximately 10% of the role will involve sourcing, with the majority of the focus on full-cycle recruiting, interview coordination, scheduling, ATS management, reporting, and recruiting operations. Occasionally, this person may also support specialized searches for AI/ML, PhD-level, and Research positions.

The ideal candidate is an experienced recruiter who can independently manage the recruiting lifecycle while serving as a strong operational resource for the team. This person must be highly proficient in an ATS, with the ability to navigate beyond basic candidate submission and tracking, pull and interpret reports, monitor recruiting metrics, and help maintain accurate recruiting data. This is an on-site role for someone who takes ownership, adapts quickly, and understands that priorities in a growing startup can change daily.

  • Interview Coordination & Scheduling: Coordinate complex interview schedules involving candidates, hiring managers, interviewers, and internal stakeholders. Send and manage calendar invitations for Microsoft Teams, Zoom, and other interview platforms as needed.
  • Candidate Experience: Serve as a primary point of contact for candidates, ensuring timely communication, interview preparation, professional follow-up, and a positive candidate experience throughout the recruiting process.
  • Hiring Manager Partnership: Conduct intake meetings, clarify hiring requirements, align on candidate profiles, provide recruiting updates, and maintain communication with hiring managers throughout the process.
  • Sourcing: Dedicate approximately 10% of the role to sourcing activities, primarily supporting G&A positions, with occasional sourcing for specialized AI/ML, PhD, and Research roles as business needs arise.
  • ATS Administration & Optimization: Maintain accurate candidate records, requisition details, interview stages, and recruiting documentation. Navigate the ATS effectively and utilize available system functionality beyond basic candidate submission and review.
  • Recruiting Reports & Metrics: Pull, review, interpret, and maintain ATS reports to track recruiting activity, pipeline progress, and recruiting metrics. Provide visibility into recruiting status and identify potential bottlenecks.
  • Pipeline Management: Monitor candidate pipelines, follow up on outstanding feedback, and help ensure candidates and requisitions continue progressing through the recruiting process.
  • Process Improvement: Identify opportunities to improve recruiting workflows, interview scheduling practices, ATS utilization, reporting, and overall recruiting efficiency.
  • Compliance & Documentation: Maintain organized recruiting records and follow applicable employment, equal employment opportunity, and candidate data privacy requirements.
