Executive Admin & Event Coordinator

Bellevue, WA (**Local candidates only** hybrid – onsite 1–4 days a month)

Pay: $33/hr (plus medical and dental benefits)

Full-time, M–F (must work PST hours)

12-month contract (excellent potential to extend)

As a Specialist on the Customer Engagement Programs team, you’ll play a pivotal role in ensuring seamless operations, communications, and processes that power some of the company’s most strategic customer programs. You’ll primarily support the Executive Briefing Center (EBC) Program, a high-impact initiative that strengthens relationships with customers and drives growth.

 

We’re looking for someone who thrives in fast-moving, complex environments and can confidently take ownership of projects with minimal direction. You’ll work closely with executives, cross-functional partners, and customers, ensuring every detail is managed with precision and care. What You’ll Do

  • Manage day-to-day operations for our EBC program with organized, timely, and consistent communication and project management.
  • Serve as the administrative lead for on-site engagement logistics—including catering, room reservations, executive scheduling, and coordination with Workplace and IT teams.
  • Oversee EBC swag management—inventory, purchase orders, and ideation of new items that enhance the customer experience.
  • Handle daily and weekly data entry and reporting projects with accuracy and efficiency.
  • Partner with internal stakeholders and counterparts to align strategies, streamline processes, and ensure program consistency.
  • Secure EBC speaker resources for virtual briefings, SMB accounts, and Microsoft-led engagements.
  • Host customers for EBCs at our San Francisco office and at industry events.
  • San Francisco EBCs take place roughly 1–4 days a month
  • Industry event EBCs may require travel, roughly one week every 3–6 months
  • Collaborate across the CE team to continuously improve workflows, documentation, and repeatable processes.
  • Contribute to the development and maintenance of program content for both internal and customer-facing use.

 

 

What We’re Looking For

  • 3–7 years of experience in administrative and event planning roles within Tech/SaaS.
  • Must have prior experience working closely with senior leadership and customers.
  • Experience supporting an Executive Briefing Center (EBC) Program or similar programs that strengthen customer relationships and drive growth.
  • Experience securing guests and speakers for events.
  • Experience handling weekly data entry and reporting tasks.
  • Proven success working with executives and senior leaders, demonstrating discretion and professionalism.
  • Ability to support both virtual and on-site meetings/events.
  • Experience coordinating on-site engagement logistics—including catering, room reservations, executive scheduling, and coordination with Workplace and IT teams.
  • Comfortable traveling one week every 3–6 months to support company conferences (travel reimbursement provided).
  • Proven success managing complex projects and operations in dynamic environments.
  • Strong organizational and administrative skills, with meticulous attention to detail and a bias for action.
  • Ability to quickly learn new systems and processes.
  • Previous experience in a role that required ramping up quickly, managing complex projects, and working independently with minimal direction.
  • Experience entering data in Salesforce
  • Experience with Jira, Asana, or similar tools; ability to pick up new systems quickly.
  • Proficiency in Excel.
  • Bonus: Experience with Power BI or similar tools.
  • Bonus: Experience using GitHub.
