Program Operations Manager – Academic Grants

Summary
We are seeking a highly organized and detail-oriented Operations Manager to support the day-to-day execution of an academic grant program. In this role, you will serve as the operational backbone of the program—managing applicant communications, coordinating technical reviews, and ensuring seamless grant fulfillment.
This position is ideal for someone who thrives in structured, process-driven environments and takes pride in maintaining accuracy, efficiency, and compliance. The ideal candidate is proactive, hands-on, and excels at managing complex workflows while collaborating across global, cross-functional teams.
What You’ll Do
- Maintain accurate and well-organized program data within Salesforce and internal systems to support reporting, compliance, and operations
- Coordinate the end-to-end technical review process, including reviewer recruitment, assignment management, progress tracking, and follow-ups
- Screen grant applications to ensure eligibility and compliance with program requirements
- Communicate application outcomes and guide applicants through the grant fulfillment process
- Interface directly with applicants and researchers to provide updates and ensure timely grant delivery
- Manage program inbox and provide responsive support to applicants and program participants
- Develop and maintain user guides and documentation for systems and processes
- Build and maintain reports and dashboards within Salesforce to track program performance
- Troubleshoot system issues, coordinate enhancements, and support testing of solutions
- Represent program operations in team meetings, providing updates, insights, and identifying blockers
What You Bring
- Bachelor’s degree or equivalent experience
- 5+ years of experience in operations, program management, or project management
- Strong attention to detail with a high standard for data accuracy and organization
- Proven ability to manage complex workflows and solve problems independently
- Experience working with Salesforce (Sales Cloud), Excel, and project management tools such as JIRA
- Experience using AI tools to streamline workflows and analyze data
- Strong analytical, organizational, and critical thinking skills
- Experience working across global, cross-functional, and remote teams
- Excellent communication, stakeholder management, and decision-making skills
Bonus Points If You Have
- Familiarity with developer ecosystems, GPU technologies, or academic/research programs
- Background in data quality, data cleaning, or customer support environments
- Project or Program Management certification
- Experience supporting large-scale or high-volume operational programs
